Map the organizer path from creating an event through the public page, tickets and registration, promotion, day-of run, and wrap-up. Use this article to find the right how-to — not to duplicate those steps.
This article is the start-here map for chapter organizers and community admins who create and run events. It links the main how-tos in order. Follow each linked article for step-by-step work — this page does not repeat those procedures.
Note: Your HQ admin controls which event types appear when you select New event, and which ticketing, tags, People roles, and virtual options each type allows. If a type or setting is missing, ask HQ to enable it — see Configure event types and Configure event tags.
Organizer journey
Work through the stages in order for a typical chapter event. Skip stages that do not apply (for example, skip the Organizer App when the event is virtual-only).
| Stage | What you do | Start with |
|---|---|---|
| Create | Choose an event type, set dates and venue, save a draft or publish from the Chapter Dashboard. | Create and configure events |
| Fill the page | Open the Event Dashboard, finish Details (title, description, banner, thumbnail), and preview the public page. Customize layout in Page Builder when your role allows. | Manage and edit an event; Add event description, banner, and images; Introduction and Overview — Event Page Builder |
| Tickets and registration | Add RSVP or ticket types (or an external registration URL) on Details, then manage the attendee list on Registrations. | Configure event ticketing; Manage event registrations |
| Promote | Schedule or send event emails, share the published event, and keep social options available unless you disable them for a private event. | Use the event Emails tab (live title may still say Emails); Event emails; Share events on social media |
| Run the day | Check people in for in-person events. For Bevy-hosted virtual events, run Q&A, breakouts, and other host tools in the live room. | Use the Bevy Organizer App; Manage Q&A during a virtual event; Manage breakout rooms |
| Wrap up | Review surveys and analytics, manage recordings when the event was virtual, or cancel if the published event will not take place. | About event surveys; Event Analytics; Manage event recordings; Cancel an event |
Tip: After you create the event, use Manage and edit an event as your hub for the Event Dashboard tabs (Overview, Details, Registrations, Emails, Surveys, Analytics, Recordings, and others your community enables).
When chapters share one event
Skip this stage unless your community uses event cohosting. After the event is published, the host chapter can mark it as cohosted on the Cohost tab and invite other chapters as collaborators. Collaborating chapters promote and attribute registrations to the same host-owned event — they do not get a separate copy to edit.
Start with About cohosted events. HQ must enable cohosting for the community first — see Enable event cohosting (Guide title may still say Enabling a Cohosted Event).
Virtual and hybrid events
Venue and platform choices change which day-of tools you need:
- Hybrid — set in-person and virtual ticket venues correctly. See Hybrid events.
- Bevy Virtual Meetup — create and configure in the Chapter Dashboard, then use host and moderator tools in the live room (Q&A, breakouts, and related Host and Moderator Tools articles).
- Bevy Virtual Conference — create the conference event type from the Chapter Dashboard when HQ has enabled one, then build the agenda (stages, sessions, booths, networking) in the Legacy Dashboard. See Create a conference event.
Sponsors and event content
After the event exists, add logos and polish the public page:
- Add sponsors and partners to an event — place chapter sponsors into event-type tiers and manage partners from the Event Dashboard.
- Add event description, banner, and images — title, description, short description, banner, and thumbnail on Details.
- Introduction and Overview — Event Page Builder — rearrange components on the public event page when your role can open Page Builder.
Note for hosts: Live-room host and moderator controls (Q&A, breakouts, presenter mode, and similar) are documented under Virtual Event Management → Host and Moderator Tools and the Bevy Virtual Meetup / Conference Host/Moderator articles. Organizers who also host should open those articles for day-of virtual steps.
