After you publish an event, choose how to reach people: event emails, social sharing, a homepage callout, calendar invites after registration, and (when enabled) cohosting with other chapters. Use this page to pick the right surface — each linked article covers the steps.
Organizers looking for “how do I promote?” under Creating & Running Events often need several tools, not one screen. Promotion pieces live in Event emails, social sharing, the homepage callout, calendar invites, and cohosting. This page is the titled job entry: when to use which surface, what must be true first (usually published), and where to go for the full steps.
| Goal | Use | How-to article |
|---|---|---|
| Announce, remind, or thank people who already follow the event or chapter | Event newsletters and automated event emails (after publish) | Event emails; day-to-day sends on Use the event Emails tab |
| Spread the public event link on social networks or by copy/SMS | Share from the published event page, confirmation screens, or dashboard Share menu | Share events on social media |
| Feature one published event on the community homepage | Homepage Special Event callout (HQ Admin Settings + homepage widget) | Call out an event on the homepage |
| Help registrants save the date on their own calendars | ICS attachment and Add to calendar links (sent with registration — not a separate “send invite” action) | Add an event to calendars |
| Reach members of other chapters with one shared event | Cohosting (when enabled): host chapter owns the event; collaborators promote and attribute registrations | About cohosted events; enablement in Enable event cohosting |
Note: Most promotion surfaces require a published event. Drafts do not get the dashboard Share menu, public social icons, or normal automated marketing sends. Finish create/configure and publish first — see Create and configure events and Manage and edit an event.
Email people about the event
Use email when you want a message in inboxes for people already tied to the chapter or event (announce, remind, thank). Bevy attaches newsletters you write and automated templates HQ configured. System messages such as ticket confirmations are separate.
- Publish the event (and understand hidden-event rules if the event is not public).
- Open the event Emails tab to preview, schedule, reschedule, or cancel sends for this event.
- Create a one-time newsletter from the chapter Emails page when you need a custom announce or thank-you.
For email types, scheduling, dropped statuses, and templates vs the tab, see Event emails. For card-by-card actions on one event, see Use the event Emails tab.
Share on social media and copy the link
Use social share when you want anyone with the link to open the public event page — Facebook, LinkedIn, X, Pinterest, email, copy link, and SMS (when enabled).
- Publish the event.
- Share from the event page banner icons, the RSVP or ticket confirmation “tell friends” prompts, or Share in the Event Dashboard header.
Which networks appear, where SMS shows, and how share text is set are in Share events on social media. This page does not repeat those steps.
Call out the event on the homepage
Use the homepage callout when HQ wants one published event featured for all site visitors — not a chapter-only promo strip.
- Copy the numeric event ID from the Event Dashboard URL.
- In Admin Dashboard → Settings → General → Content, set Homepage Special Event ID and optional callout text.
- Confirm the public homepage includes the Special Event Callout component.
Full settings, widget requirements, and troubleshooting are in Call out an event on the homepage. Only HQ admins can change those settings.
Help attendees add the event to their calendars
Calendar invites are not a separate “promote” button. When someone registers, Bevy can attach an .ics file and show Add to calendar links (when enabled for your community). Your job is accurate start/end times and timezone, then publish — and send attendee updates when details change so invites can refresh.
For what attendees receive, how to keep times correct, and what happens on update or cancel, see Add an event to calendars.
Tip: Enter the local event time and the correct event timezone. Do not convert times to UTC yourself before saving — that is the most common reason calendar invites show the wrong hour.
Promote with other chapters (cohosting)
Skip this section unless your community uses event cohosting. After publish, the host chapter can mark the event as cohosted and invite collaborators. Collaborating chapters show the same host-owned event and can promote within their own audience rules — they do not get a separate editable copy.
Start with About cohosted events. For turning cohosting on for the community, see Enable event cohosting.
Important: Cohosting expands reach; it does not replace event emails or social share on the host event. Collaborating chapters have limits on which event emails they can send — details stay in the cohosted-events articles.
