HQ admins set RSVP, free or paid tickets, or external ticketing on each event type. Organizers then add ticket or RSVP types — or an external registration URL — on the event Details page.
Ticketing mode is fixed by the event type (and, for some chapters, a chapter external-ticketing setting). Organizers do not pick RSVP vs paid vs external on each event after create. You manage inventory or the external URL on the event Details page.
- Event type Tickets settings — Admin Dashboard → Settings → Event Types → Tickets accordion. Choose Bevy Ticketing or External Ticketing, then RSVP or Tickets, free or paid.
- Event Details — Chapter dashboard → Events → open the event → Details. Section header is RSVPs, Tickets, or External ticketing depending on mode.
- Bevy Pay — Required for the Tickets, free or paid event-type option and for publishing paid events. Free ($0) tickets still use that ticket mode.
Note: You cannot change an event’s type after the event is created. Changing guest registration or moving an event type between paid tickets and RSVP-only affects live events that use that type — coordinate with your Customer Success Manager or Bevy Support before changing production event types. Full event-type steps: Configure event types.
Choose a ticketing mode (admins)
In the Admin Dashboard, open Settings → Event Types, edit an event type, and expand Tickets.
- Under Ticketing Options, select Bevy Ticketing or External Ticketing.
- If you chose Bevy Ticketing, under This event type accepts: select RSVP or Tickets, free or paid.
- Optionally enable Allow registration as a guest (label can mention in-person events when the newer RSVP flow flag is off).
- Save and publish the event type.
If Bevy Pay is not enabled for the community, Tickets, free or paid is unavailable. A chapter can also turn on Use external ticketing in chapter Payments settings so its events require an external registration URL even when the event type uses Bevy Ticketing.
| Mode | Set by | What organizers configure on Details |
|---|---|---|
| RSVP | Event type: Bevy Ticketing → RSVP | RSVP types (title, quantity, availability, waitlist, hide/access code). No price. |
| Tickets, free or paid | Event type: Bevy Ticketing → Tickets, free or paid (requires Bevy Pay) | Ticket types with optional price, sales window, tickets allowed per order, waitlist, hide/access code. |
| External ticketing | Event type External Ticketing, or chapter Use external ticketing | Ticketing external link URL only. Attendees leave Bevy to register. |
Add RSVP or ticket types
Use this path when the event type uses Bevy Ticketing (RSVP or free/paid tickets).
- Open the event in the chapter dashboard and select the Details tab.
In the RSVPs or Tickets section, select Add RSVP or Add ticket (or the edit control on an existing row).
- Set:
- Title
- Venue — virtual or in-person. Only hybrid events let you choose per ticket type.
- Quantity — total available. The list shows remaining out of total (for example, N/M Available).
- Price — paid ticket mode only. Leave blank or 0 for a free ticket in that mode.
- Open Advanced settings (optional) if you need availability windows, description, waitlist, hide/access code, or (paid) tickets allowed per order.
- Select Save. Repeat for additional types.
Tip: Paid events need Bevy Pay set up for the community and/or chapter payouts before you can publish. See Bevy Pay Guide. Related tabs such as Discounts and Payments appear only for paid (non-RSVP, non-external) events when you have permission.
Advanced settings
Labels differ slightly for RSVP vs paid tickets:
- Availability start / Availability end (RSVP) or Sales start / Sales end (paid) — leave blank to open immediately and stay open until the event ends or quantity reaches zero. An earlier end date can show the ticket as Sold Out or Unavailable.
- Add description — short ticket description (up to 200 characters).
- Enable waitlist when this ticket is sold out — when waitlists are enabled for the community. Organizer waitlist management: Waitlist Registration.
- Hide this ticket type — requires an Access code. Share the generated URL, or attendees can enter the code in the promo code field on the event page (access codes up to 100 characters).
- Tickets allowed per order — paid mode only (minimum and maximum; not used for virtual ticket venues the same way as in-person).
- Delete — remove a ticket type you no longer need (subject to existing registrations).
Set venue maximum capacity
On the same Details section, use Set venue maximum capacity for RSVP and paid (Bevy) events. When the cap is reached, tickets appear as Sold Out on the event page even if individual ticket quantities remain. Leave the field blank if you do not want a venue-wide cap.
Keep total ticket or RSVP quantity at or below venue capacity when you use a cap. Capacity can still be exceeded when you add attendees manually, change a ticket’s venue after registrations start, or set capacity after people have already registered.
For Bevy Virtual Meetup events, the platform default cap is often 1,000 attendees. If you expect more, contact your HQ admin or Bevy Customer Support Manager.
Configure external ticketing
When the event type uses External Ticketing, or the chapter has Use external ticketing on, Details shows an External ticketing section instead of RSVP or ticket rows.
- Open the event → Details.
- Under Ticketing external link, enter the registration URL for your external system.
- Save and publish the event. Publishing requires a URL when external ticketing is on. The event page sends attendees to that URL instead of Bevy RSVP or checkout.
If you cannot change a ticket price
After a ticket has orders — including completed purchases and checkout that already created an order — Bevy rejects price changes (“You can't change the price of a ticket with existing orders”).
To offer a new price, hide the existing ticket type (with an access code if you still need a private path) and create a new ticket type at the new price.
