After a virtual event, use the Recordings tab in the Event Dashboard to download session and stage recordings, generate transcripts and summaries, send recordings to the Media Library, and delete files you no longer need.
Note: This article covers the Recordings tab in the chapter Event Dashboard (new dashboard). Before you start
The Recordings tab lists files produced when hosts or moderators record a Bevy Virtual Meetup or Bevy Virtual Conference session. Recordings appear after processing finishes. Until then—or if nothing was recorded—the tab shows There are no recordings for this event yet.
Recordings is separate from Wrap up. Wrap up is for featured external video links, Slideshare, and photo galleries on a completed event page. Use Recordings for native Bevy session and stage files, transcripts, and Media Library conversion.
Open the event from the hosting chapter dashboard. A cohosted-chapter view does not include the Recordings tab.
Open the Recordings tab
- Open the chapter dashboard.
- Select Events in the left sidebar.
- Open the event.
- Select the Recordings tab.
The Recordings tab is available for the event even before it is marked completed. Files show after a recording has been processed.
What you see on Recordings
Depending on the event type and which features are enabled for your community, the page can include:

| Raw track recordings (backup) | Collapsed backup tracks. Expand the accordion to download individual raw files by room. |
| Transcripts & Summaries | Post-event transcript and summary jobs for session recordings. Visible when transcripts and summaries are enabled for your community. |
Download a recording
- Open the event Recordings tab.
- Find the file under Session video recordings or Stage video recordings.
- Select Download.
Use the Time (and Size, when shown) columns to tell clips apart when an event has more than one recording. Session recording names may appear as a recording ID rather than a friendly title; stage recordings use the stage or place title.
Tip: Download copies of recordings you want to keep. Do not rely on the dashboard as long-term storage.
Generate a transcript and summary
When transcripts and summaries are enabled for your community, each Session video recordings row includes Generate Summary. Stage recording rows do not include this action. Generate Summary creates a post-event transcript and summary job. The post-event transcript is more accurate than live captions from the session.
- Open the event Recordings tab.
- Under Session video recordings, find the recording.
- Select Generate Summary.
- Check the Transcripts & Summaries table for the job Status. Processing can take several minutes.
- When the job is ready, select Download transcript or Download summary.
If a summary was already generated for that recording, Bevy shows a message to check the table below instead of creating a duplicate.
Note: A recording is required before you can generate a post-event transcript and summary. Live transcription during the Meetup does not create these downloadable files by itself.
Delete a transcript or summary job
- In Transcripts & Summaries, find the job.
- Select the delete control for that row.
- Confirm Delete in the Delete batch job dialog.
Send a recording to the Media Library
If Video on Demand (VOD) is enabled for your community, session and stage recording rows include Send to Media Library.
- Open the event Recordings tab.
- Find the recording.
- Select the Send to Media Library control.
- Choose Event to add the video to this event’s Media tab, or Chapter to add it to the chapter Media Library.
After conversion succeeds, open the Media tab (or chapter Media Library) to set the title, access level, and optional pre-watch survey. See About Video On Demand (VOD).
Delete a recording
Delete appears on Session video recordings only if your chapter role includes permission to delete event recordings. Stage and raw track rows do not include Delete.
- Open the event Recordings tab.
- Find the session recording.
- Select the delete control.
- Confirm in the Delete recording dialog.
The confirmation explains that this deletes the recording and its summary, and you cannot undo it. Raw track files and any Media Library asset made from this recording are not removed.
Download raw track backups
- On the Recordings tab, expand Raw track recordings (backup) if the section is present.
- Select Download for the file you need.
Raw tracks are backup files organized by room. Use them when you need the underlying track, not the composed session or stage MP4.
Turn on Auto record
On the event Details tab, for an internal virtual or hybrid event, you can enable Auto record. When it is on, recording starts automatically when a moderator joins. Hosts and moderators can still stop and start additional clips during the live session.
- Open the event Details tab.
- Under virtual event options, select Auto record.
- Save the event.
