On the day of an in-person or hybrid event, mark attendees present from the Registrations tab, Check-in Attendees in the profile menu, or the Bevy Organizer App. Use the surface that matches your role and device.
Check-in marks a registration present for reports and analytics. Attendees do not check themselves in — staff use one of the three surfaces below. For ticket venue rules on hybrid events, see Hybrid events. For the full Registrations list (add, edit, remove, email), see Manage event registrations.
| Surface | Best for | Who can use it |
|---|---|---|
| Registrations tab | Desktop list check-in while you manage the full attendee list (search, add, edit, remove). | Organizers and admins who can open the event Registrations tab. Check-in-only staff usually cannot use this tab. |
| Check-in Attendees (profile menu) | Browser check-in without the full Registrations dashboard — search and toggle presence on a phone or laptop. | Anyone with check-in permission for the event, including check-in-only staff. |
| Bevy Organizer App | Door check-in on a phone — swipe names, scan ticket QR codes when your community sends them, and add walk-ups when your role allows. | Admins and organizers (and check-in staff) with check-in permission. See Use the Bevy Organizer App for install and QR steps. |
Note: Chapter team roles control who can check people in versus who can manage the full Registrations tab. Check-in-only staff use Check-in Attendees or the Organizer App. For role details, see Chapter Team Members.
Check in from Registrations
- In the Chapter Dashboard, open the event.
- Select the Registrations tab.
- Find the person (use Search if the list is long).
- Select or clear the Check in checkbox on that row.
You can also set Check-in when you Add registration or Edit a registrant. Adding someone does not check them in unless you select that option.
Important: The last check-in state is what reports and analytics use. Bevy does not keep a history of every toggle — if you clear Check in by mistake, select it again to mark the person present.
Check in from Check-in Attendees
Use this browser page when you have check-in permission but do not need (or cannot open) the full Registrations tab.
- Open the event page while signed in with a check-in-capable account.
- Open your profile menu and select Check-in Attendees.
- Search or scroll to find the registrant.
- Select the person to mark them checked in (or clear check-in the same way).
Tip: On devices that cannot install the Organizer App (for example, some Fire tablets), use Check-in Attendees in a mobile browser. Badge printing is not available in the browser check-in view.
Check in with the Bevy Organizer App
For door check-in on a phone — including swipe check-in and QR scan when ticket emails or PDFs include a QR code — install and use the Bevy Organizer App. Full install, QR, search, and walk-up steps are in Use the Bevy Organizer App.
- Swipe an attendee’s name right to check them in.
- Scan a ticket QR code when your community includes QR codes on ticket emails and PDFs.
- Add a walk-up only if your role includes add-attendee permission; adding does not check them in automatically — swipe after you add.
Note: Hidden events appear in the Organizer App list for admins (and accounts with community-wide check-in access). Chapter organizers and check-in-only staff should use Check-in Attendees in a browser, or ask an admin, for hidden events.
Automatic check-in for virtual joins
For virtual or hybrid events that use Bevy Virtual, Zoom, or an external join URL, Bevy can mark an attendee checked in automatically when they join through the event join path during the check-in window (starting shortly before the event start time). You do not need to toggle those people on the door list for the online venue.
Manual check-in still works from Registrations, Check-in Attendees, or the Organizer App when someone needs a correction. Live-room host tools (Q&A, breakouts, and similar) are separate from door check-in — see Manage Q&A during a virtual event and other Host and Moderator Tools articles under Virtual Event Management.
