Bevy Virtual Conference is one virtual event with many rooms. People register once, then move through an agenda of stages and sessions, and can visit sponsor booths and networking tables when the event includes them.
A conference is a Bevy event built for more than one room. It belongs to a chapter, the same way any other event does. People find it on the chapter page or the community site, register once on the event page, and join in the browser. From there they choose a stage, a session, a booth, or a networking table.
The event page stays up after the conference. Before the start time it is where people register. During the conference it is how they join. Afterward the attendance record stays with the event. Tickets, check-in, and the public page are covered in Introduction to events.
Where a conference fits
- Community site — the public home. A public conference can appear here with the chapter's other events.
- Chapter — the group that hosts it. The chapter team creates the conference from that chapter.
- Event — one gathering, with its own page, registration, and attendance. See Introduction to events.
- Agenda — the schedule of stages and sessions for this conference. People move through it after they join.
For the rest of the platform, see Bevy introduction.
What people see
Before they join, people see the event page: title, date and time, a description, registration, and the people listed for the event when the page shows them. A conference event runs in Bevy. If people also meet in a physical room, that place can be listed on the same page.
After they join, they see the agenda. It shows the stages and sessions the team added, with titles, times, and speakers. Booths and networking appear only when the team added them. If neither is on the event, those options are not shown.
Note: The agenda needs at least one stage or one session. Without that, people who join see an empty schedule and cannot open conference content.
What a conference includes
| Building block | What it delivers |
|---|---|
| Agenda | The schedule of stages and sessions. Items can overlap, so people choose which room to join. A session can be limited to a ticket type. |
| Stages | Broadcast rooms for keynotes and main-track talks. Speakers prepare in a backstage area, then the session goes out to a listen-only audience. Backstage exists only on a stage. |
| Sessions | Timed rooms for talks, workshops, and discussions, including breakout rooms. A session can be live or a recording. It does not have backstage. |
| Booths | Sponsor and partner spaces that stay open for the whole conference. People open them from the conference, not as timed agenda items. A booth is usually an image or a video plus chat. |
| Networking tables | Small group tables people join by topic. They stay open for the conference. People at a table can use camera, microphone, and chat. |
| Registration | One RSVP or ticket for the event. People do not register again for each session. |
A live session can be a talk with presenters on camera, a workshop where attendees can join on camera, or a listen-only webinar. How many people each room holds, and how many stages you can add, is in About Bevy Virtual Conference.
How people move through it
- They register on the event page, as an RSVP or a ticket, the same way they register for any other event.
- They select Join on that page when the conference is open, and land on the agenda.
- They pick a stage item or a session. A timed session opens shortly before it is scheduled to start. Sessions can run at the same time.
- They visit booths and networking tables throughout the conference. Those stay available for the event. They are not slots on the timed agenda.
- A webinar-format session is one room on that agenda. The other rooms keep their own formats. See Introduction to Bevy webinar.
Tip: Use a stage when speakers need to prepare before the audience sees them. Use a session for a talk or workshop that does not need that backstage area. If speakers need to test earlier than the session opens, put that item on a stage.
Who is in the conference
| Person | What they do here |
|---|---|
| Attendee | Registers, joins from the event page, and moves through the agenda. They can use chat and Q&A when those tools are turned on. |
| Speaker on the page | Listed on the event page and the agenda. That listing does not turn on microphone, camera, or screen share. |
| Presenter | Someone a host has granted live microphone, camera, or screen share in that room. |
| Host | A chapter team member with permission to host. They join as a host and can manage the live rooms, including who can present. |
| Moderator | Someone promoted in the live room to help run chat, Q&A, and the session. That promotion does not open the chapter dashboard. |
What each role can do in the room is in Roles and permissions in Bevy Virtual Conference.
When to choose a conference
| If you need | Use |
|---|---|
| One room for a chapter workshop or town hall, typically up to about 1,000 people | Introduction to Bevy Virtual Meetup |
| A few speakers and a listen-only audience, including one session inside a larger event | Introduction to Bevy webinar |
| Several sessions, a stage, booths, or networking on the same event, or a larger audience than one Meetup room | Bevy Virtual Conference |
What a conference is not
- It is not a single Meetup room. Meetup has no stages, booths, or conference agenda.
- A webinar session on the agenda does not turn the whole conference into a webinar. Other rooms keep their own formats.
- It is not an external streaming link. The conference runs in Bevy. People still register on the Bevy event page.
- A name on the event page is not permission to speak. Live presenter rights are granted in the room.
- It is not a chapter. The chapter continues after the conference ends.
