Learn which Bevy Virtual Conference roles can speak, share, and moderate. Listing someone as Speaker on the People tab does not give them microphone, camera, or screen share.
Note: Use Bevy Virtual Meetup for a single-room workshop. Use Bevy Virtual Conference when you expect more than about 1,000 attendees, or when you need multiple sessions, stages, or a full agenda. Pick the matching host instructions in Choose host instructions for a Bevy Virtual Event.
Conference roles and permissions
This article describes the roles you see in a Bevy Virtual Conference and what each role can do in the live room. Day-of steps for hosts and moderators: Use Bevy Virtual Conference as a host/moderator.
- Host — chapter team member with host permission. Joins as a host automatically and can manage the live room.
- Moderator — promoted in the live room with Moderator mode. Gets moderation tools; does not get chapter or admin dashboard access from that promotion alone.
- Presenter — has Presenter mode so they can use microphone, camera, and screen share.
- Attendee — joined the conference without presenter or moderator rights.
- Speaker (People tab) — listing on the public event page and agenda only. Not the same as live presenter rights.
Hosts
Chapter team members with host permission join the conference as hosts automatically.
Hosts can:
- Join the conference before it starts. Conference events usually open about 60 minutes before the event start time. Some communities use a longer window.
- Join any session they have access to after that session's Join button opens.
- Turn Presenter mode on for themselves and for others.
- Turn Moderator mode on for others.
- Start and stop recording.
- Moderate chat and manage Q&A.
- Simulcast a live session or broadcast a Stage.
- End the event early and view check-ins.
Tip: Session Join stays Starting soon until 15 minutes before that session. Sessions do not have Backstage. If hosts and speakers need to test earlier than 15 minutes, use a Stage. Hosts can still join the overall conference before the first session opens. See Backstage in Bevy Virtual Conference.
Speakers (People tab)
Adding someone as Speaker, Host, or Moderator on the event People tab lists them on the public event page and agenda. It does not give them microphone, camera, or screen share in the live room.
A People-tab Speaker, Host, or Moderator listing is not the same as live presenter or host rights. Converting a Session to a Stage also does not grant those rights.
Presenters (live room)
Presenters can turn on microphone, camera, and screen share.
A speaker becomes a presenter only if one of these is true:
- They are a chapter team member with host permission. They join as a host automatically.
- A host or moderator turns on Moderator mode or Presenter mode for them in the live room: Participants → the person → Actions.
The Backstage link does not grant presenter controls. If a speaker joins Backstage without Moderator mode or Presenter mode, they appear as an attendee.
To broadcast on a Stage, they must be in Backstage and have presenter mode enabled. Only Stages have Backstage. The agenda Backstage link appears for hosts and moderators on Stage items.
Important: If you are listed as a speaker and you cannot share audio, video, or your screen, ask a host or moderator to open Participants, select you, open Actions, and turn on Presenter mode. Refreshing the page does not grant those controls.
If prompted, grant the browser access to your microphone and camera. You can also message a host in chat and ask them to turn presenter mode on.
In a non-stage session, your name and picture appear for attendees while presenter mode is on. Camera and microphone start off. Turn them on when you are ready.
Attendees
- RSVP, then select Join Event on the event page when the conference is open.
- Hosts and moderators can promote attendees to moderator or presenter in the live room.
- Send event chat and direct messages, unless the host has disabled chat.
- Ask, vote on, and sort questions in Q&A when Q&A is available.

Booths
Standard booths are non-live segments: attendees watch booth content and use chat. They do not use the same microphone, camera, and screen-share tray as a Stage or live Session.
Hosts and moderators can start or end a live booth when that option is available for your community. For interactive audio and video among attendees, use a networking table or a many-to-many session instead of a standard booth.
