Event surveys are essential tools for gathering insights from attendees pre and post event. They can also be used to gather information from your event organizers. This documentation will guide organizers through managing surveys in the event management dashboard, allowing you to edit surveys and view responses.
Overview
Surveys help event organizers capture important insights from both attendees and team members. Event organizers can manage surveys in the Survey Tab, where they can edit survey content and review submitted responses.
Survey Types
There are three types of surveys you can manage for your event:
- Pre-Order Survey: Filled out by attendees during event registration.
- Post-Event Survey: Completed by attendees after the event to provide feedback.
- Post-Event Team Survey: Targeted to event organizers and team members, aimed at gathering internal feedback for improving future events.
Community Admin can also set default global questions for any survey type. To learn more about managing global survey questions, please see the Manage global forms article.
Accessing and Editing Surveys
How to Edit a Survey
To edit any survey, follow these steps:
- Navigate to the Survey Tab in your event dashboard.
- Select the survey you wish to edit (Pre-Order, Post-Event, or Post-Event Team).
- Click the Edit button next to the survey.
- To add a new question, select a question "pill" in the grey box and the question type will be added. (see Question types below for more details)
- Fill in the question or text you would like to ask or request
- Select an appropriate setting for the question (if applicable)
- Required - Enable this setting to make it a mandatory question for the audience
- Prefill - Enable this setting for repeat questions to capture and prefill answers from users from previous events. Users can update their answers but this will streamline the interaction for them.
- Locked - Admins and organizers with the applicable permissions can lock questions to prevent them from being edited and removed by other organizers.
You do NOT need to add fields to forms for data that is already collected automatically with event registration: Name, Email, City, State, Country, Region, Chapter title, Chapter ID, Event title, Event ID, Event type, Event date, User ID, Attendee ID, Responded (date), Entry ID
If you edit a survey, make sure to republish the event for changes to take effect. Without republishing, the updated survey will not be visible to attendees or team members.
Viewing Survey Responses
To view the responses submitted for any survey:
- In the Survey Tab, click on the Responses button next to the relevant survey.
- Here, you can view all responses submitted by attendees or team members.
Filtering and Exporting Responses
- Filter by Date: Narrow down responses based on a specific date range.
- Download CSV: Export the responses as a CSV file for offline analysis or reporting.
Handling Large Amounts of Data
If your survey has a large number of responses, it is recommended to either:
- Filter by Date within the dashboard to reduce the number of displayed entries.
- Access Survey Reports: For comprehensive data analysis, it is best to use the Survey Reports feature in the Report Center. For more details, see Report Center Documentation.
Best Practices
- Customize Thoughtfully: While customization is available, ensure that the default fields and questions are still relevant for collecting key insights. Avoid overloading surveys with unnecessary questions.
- Leverage Automatically Collected Data: Don’t add fields for information already collected through event registration, such as attendee names or emails.
- Review and Test: Before republishing the event, test the survey to make sure the changes are reflected and functional.
- Use Filtering: For events with a large number of attendees, use date filters to make the survey response management easier.
- Republish Events: Always remember to republish your event after editing any surveys so attendees and team members can access the updated versions.
