Prepare your setup and delivery for Bevy Virtual Meetup, Bevy Virtual Conference, or a webinar room, confirm Presenter mode and when you can join, coordinate chat and Q&A with hosts, and keep slides clear when you share.
These tips help you look and sound clear when you have Presenter mode in Bevy Virtual — including Bevy Virtual Meetup, Bevy Virtual Conference (Stage, Session, or backstage), and webinar rooms. Confirm how you get Presenter mode and when you can join for your surface, then use the shared prep and delivery tips below.
- Presenter mode — permission to use microphone, camera, and screen share in the live room.
- Speaker listing — public name on a Conference event page or agenda. It is not the same as Presenter mode.
- Q&A — separate question list that hosts and moderators open for the room.
- Pin — host/moderator chat action that keeps an important message at the top of session chat.
Important: Being listed as a Speaker on a Conference event page or agenda does not give you microphone, camera, or screen-share controls. Confirm with your host that you will have Presenter mode in the live room before event day.
Prepare before you present
| Focus | What to do |
|---|---|
| Browser | Use the latest Google Chrome on a desktop when you can. Safari and Edge are supported; switch to Chrome if audio, video, or screen share misbehaves. |
| Camera framing | Keep the camera in landscape (wider than tall), including phones and tablets. Portrait video can crop you in the live room and in the recording. |
| Lighting and wardrobe | Face a soft light (a small ring light works). Prefer solid colors over busy patterns that distract on camera. |
| Background | Choose a clean real background, or set a blur or image effect before you join — see Virtual background effects in Bevy Virtual. |
- Agree with the host who will watch chat (and pin key messages) while you speak.
- Decide how you will handle questions — pause live, wait until the end, or use Q&A after introductions.
- If the session will use Q&A, ask the host when they will open it and plan a short announce for attendees. Hosts and moderators start and end Q&A — Meetup steps: Manage Q&A in Bevy Virtual Meetup.
Confirm Presenter mode and when you can join
Join timing and how you get Presenter mode depend on where you present:
| Where you present | When you can join and how Presenter mode works |
|---|---|
| Bevy Virtual Meetup | Meetup rooms usually open about 15 minutes before the published start time. Join early so you can test devices. A host or moderator turns on Presenter mode for you — see Use Bevy Virtual Meetup as a presenter. Hosts can also run a practice event — see Test a Bevy Virtual Meetup event. |
| Bevy Virtual Conference — Stage | Use the Backstage link your host sends. After you join, ask the host to open Participants (or People), open Actions for your name, and turn on Presenter mode. If you also need to manage participants or start and stop the Stage broadcast, ask for Moderator mode as well — it does not replace Presenter mode for mic, camera, or screen share. See About backstage in Bevy Virtual Conference and Roles and permissions in Bevy Virtual Conference. |
| Bevy Virtual Conference — Session | The Join action becomes available 15 minutes before the Session start time. Join as soon as it becomes active, then test audio and video. If you are in the room without camera or screen-share controls, you joined as an attendee — ask a host to turn on Presenter mode from Participants → your name → Actions. Moving your tile or using Staff / Presenters filters does not grant permissions. Host steps: Use Bevy Virtual Conference as a host/moderator. |
| Webinar room (Meetup or Conference) | You need Presenter mode in that room the same way. Hosts promote or admit presenters separately — see Promote or remove a presenter in webinar mode and Admit attendees from the webinar waiting room when those steps apply. You do not need to raise your hand first to get Presenter mode in a webinar room. |
During your session
- Join as soon as your surface allows (see the table above). Confirm microphone, camera, and (if needed) screen share before you go live.
- Place notes or slides just below the camera so you look toward the lens more often.
- Speak a little slower than in person, and pause between sentences so audio stays clear online.
- Use visible hand gestures when they fit your style — they read as natural cues on camera.
- If you play pre-recorded video, keep attendees engaged in Chat (and in Q&A when it is open). Ask a host or moderator to Pin prompts or links so they stay visible — Meetup pin steps: Moderation tools in Bevy Virtual Meetup.
Tip: Only one person can share a screen at a time, but several people can be in presenter mode. Hand off the share when someone else needs to show slides.
Keep slides clear when you share
Share a Window or Browser Tab at a large size so text stays readable. On one Mac display, enable Swipe between full-screen apps, share your slides window, then swipe between the Bevy Virtual room and your deck so attendees still see full-size slides.
Full steps (quality settings, tab audio, macOS Screen Recording, and one-monitor gestures): Share your screen in Bevy Virtual.
Important: Sharing a small browser tab often makes slides look tiny for everyone. Prefer a full window (or a second monitor with the Bevy Virtual room on one display and the deck on the other).
If something goes wrong
- Refresh, confirm you are in presenter mode, and recheck camera/microphone permissions.
- For join, audio, video, and screen-share fixes, see Presenter troubleshooting FAQs.
- Copy your support ID from Help in the tray (or pre-join) before you contact Bevy Support.
