Learn how to host or moderate a Bevy Virtual Conference session, and how to give a speaker microphone, camera, and screen share from Participants Actions.

Chapter team members who have the Add live session permission join as hosts. Hosts can promote other people in the live room. People promoted during the event do not get admin dashboard access
Give a speaker microphone, camera, and screen share
The event People tab lists speakers, hosts, and other roles on the public event page and agenda. That listing does not give someone microphone, camera, or screen-share controls in the live room.
Warning: Do not drag Staff or Guest tiles, and do not use the Staff or Presenters filters, to grant permissions. Those controls only change who appears in a list or on the broadcast layout. If the Actions menu looks frozen, you are not granting live access from the layout.
Add a trusted organizer to the chapter team
Use this path for organizers who should join every session as a host.
- Add the person to the chapter team.
- Give that team role the Add live session permission.
- Ask them to sign in with that account and join the conference.
- They join as a host, with microphone, camera, and screen share available after they enable Presenter mode for themselves if prompted.
Grant access in the live room
Use this path for external speakers who should not join as chapter-team hosts. Put the session on a Stage so they can join Backstage for a dry run.
- Create the session as a Stage session.
- Have the speaker RSVP with the account they will use during the event.
- As a host or moderator, open Backstage and send the speaker the Backstage URL.
- After the speaker joins, open Participants in the bottom tray.
- Select the speaker, then open Actions.
- Turn on Presenter mode so they can use microphone, camera, and screen share.
- Turn on Moderator mode only if they also need to manage participants or start and stop the Stage broadcast. Moderator mode is saved for this event after they leave and rejoin. Presenter mode applies to the current room session and might need to be granted again after they rejoin.
Tip: Rehearse with the same signed-in account and device the speaker will use on event day. Networking tables and many-to-many sessions already let attendees publish media; Stage and standard sessions do not.
Understand host, moderator, and presenter access

Promote others to Moderator mode
A host or moderator can grant Moderator mode in any live Conference room, including Backstage. You cannot turn Moderator mode on or off for a chapter-team host.
- Open Participants.
- Select the person, then open Actions.
- Turn on Moderator mode.
- Confirm the Moderator mode granted message.
To remove Moderator mode, turn the same switch off. If a moderator (not a host) removes another moderator, that person might need to refresh before the change appears.
- You'll get a confirmation message:
- After the process is finished, you will see the person as a Moderator in the "Participants" view.
To remove the Moderator role, you need to do the opposite. The Moderator Mode switch will be active for the attendee.

As a Moderator
The process to provision moderator access to others is equal to the steps for Hosts.
On the other hand, the removal of the Moderator role is a little different. They can demote Moderators in the call by clicking the “Moderator mode” switch, and the next message will be visible:
The participant demoted will receive the next message and the page will refresh:
Enable Presenter mode for yourself
Presenter mode turns on microphone, camera, and screen-share controls. Hosts and moderators can be prompted to enable it when they join.
If you skipped that prompt, open Participants, open the three dot menu on your own row, and turn on Presenter mode.
Enable Presenter mode for others
- Open Participants.
- Select the person, then open Actions.
- Turn on Presenter mode.
The person might need to allow camera and microphone access in the browser. After they finish, turn Presenter mode off to remove them from the video grid.

Attendees who join a Bevy Virtual Conference event can be auto-checked in. Hosts can export an attendee list after the event.
Join the event before it starts
After you RSVP, hosts and team leads can open Bevy Virtual Conference from the calendar, email, or virtual URL in Event Edit. The Join button on the event page opens 15 minutes before the event starts.
