This article outlines how to manage host controls within Bevy Virtual Meetup. To learn more about the list of new features, please see here
All chapter team members automatically join virtual events as hosts. Other attendees can be promoted to moderator role, but they won't have access to the admin dashboard.
Hosts/Moderators can:
-
Join any session
- Access attendee information
-
Start / Stop recording
-
Moderate chat
-
Enable and manage Q&A
Promote others to moderators
As a Host
As a host, you can provision moderator access to others during the event.
- Within the event, click the Participants tab.
- Click the drop-down arrow next to the attendee's name.
- Click the Moderator Mode switch.
- You'll get a confirmation message:
- After the process is finished, you will see the person as a Moderator in the "Participants" view.
To remove the Moderator role, you need to do the opposite. The Moderator Mode switch will be active for the attendee.
Then you'll see the confirmation of the action:
As a Moderator
The process to provision moderator access to others is equal to the steps for Hosts.
On the other hand, the removal of the Moderator role is a little different. They can demote Moderators in the call by clicking the “Moderator mode” switch, and the next message will be visible:
The participant demoted will receive the next message and the page will refresh:
Enable presenter mode for yourself
Presenter mode allows access to audio/video and screen share controls.
- Upon joining an event as a host/moderator, you will be prompted to enable presenter mode.
-
Click enable. You will now see your audio, video, and screen share controls.
If you didn't enable the Presenter mode right after joining the event, you can still enable it from the Participants view.
- Within the event, click the Participants tab
- Click the drop-down arrow of your user.
Enable presenter mode for others
You may enable presenter mode for any attendee who needs audio, video, and screen sharing controls.
- Within the event, click the Participants tab.
- Click the drop-down arrow next to the attendee's name.
- Click Presenter mode switch.
Once given presenter mode,
- Attendees will be prompted to accept access.
- Attendees may also need to give browser permissions for camera and microphone use.
Once a presenter completes their session, turn their presenter mode off to remove them from the video grid.

End of the event early
As a host/moderator, you can end the event before the designated end time.
Ending an event for all is final. Ending a multi-day event early applies to the remaining days of the event.
-
At the bottom of the event, select the Leave button.
As a host/moderator, this opens a menu with the options to end the event or leave the event. -
Select End event for all.
Clicking End event for all concludes the event and removes everyone, including for hosts and moderators. At this point, the event session will be disabled and is no longer accessible using the Join button.
View a list of check-ins
Anyone who attends a Bevy Virtual Meetup event will be auto-checked in. Hosts can export an attendee list after the event.
Join the event before it starts
After you RSVP, Hosts & Team leads can access Bevy Virtual Meetup anytime before they start by using Calendar, Email, or Virtual URL link found at the bottom of the Event Edit section.
The Join button on the Event page doesn't work the same way and only allows you to join 15 minutes before the event starts.
