Configure a booth in Bevy Virtual Conference

This article explains more about booths for Bevy Virtual Conference

Booths in Bevy simulate an in-person sponsor booth and are open for visitation throughout the conference.

Booths are a great place to showcase your supporters, sponsors, and partners.

  • Booths are visible the entire duration of the event.
  • Booths are accessible from the top conference navigation bar not within Agenda.
    • If you do not add a booth, the Booths option won't appear.
  • Booth can display a static image or a video.
    • If video, attendees can click to play on demand.

Create a booth

  1. From the Agenda tab of your Virtual Conference event, click the Booths tab.
  2. Click to add a booth.
  3. Fill in the relevant details.

Booth types

Booths can be set as one of the following types: 

  • Sponsor: Appear on the Event page.
  • Custom: Do not appear on the Event page. You can use these booth types for delegations or partners.

If adding a Sponsor to a booth, ensure you've added the sponsor profile on the Sponsors & Partners section of the event settings.

Booth content

Booth content can be set to one of the following:

  • Image: 1920x1080px jpg or png
  • Video: YouTube link or upload an MP4 file. YouTube links can include a live streamed YouTube video. The video starts as the user enters, and will play from the start each time.

Re-order booths

  1. Click and drag the handle on the left to change the order.
  2. Click Save.

Why does my YouTube video say “Video unavailable” in a booth?

If the video plays on YouTube but shows Video unavailable in the booth, the booth is working as expected. YouTube is blocking playback on other websites because embedding is turned off for that video.

Booths display YouTube videos in an embedded player. If the video owner has disabled embedding, YouTube shows “Video unavailable” instead of the stream. This is especially common with livestreams — YouTube often turns embedding off when a stream goes live, even if it was enabled during setup.

The video owner should:

  1. Open YouTube Studio.
  2. Go to Content, then open the Live tab.
  3. Find the stream and click the pencil icon to edit details.
  4. Click Show more, then go to License and distribution.
  5. Check Allow embedding.
  6. Click Save.

After they save, refresh the booth. The video should play without any other changes in Bevy.

Tips

  • Repeat this for each livestream. The setting applies to that broadcast, not to every video on the channel.
  • Public and unlisted videos can play in a booth if embedding is allowed. Private videos cannot.
  • Use a standard YouTube watch link, such as https://www.youtube.com/watch?v=VIDEO_ID or https://youtu.be/VIDEO_ID.
