Send a chapter newsletter from the Chapter Dashboard Emails page to reach members, ticket holders, waitlist users, or other chapter audiences. Save a draft, send a test, preview, then send now or schedule.
Before you start
Bevy gives local organizers a way to email community members with newsletters. Typical uses include announcing new events, sharing details beyond system emails, and thanking attendees after an event.
Your headquarters team might already send automated emails. Review any automated emails that populate in the dashboard before you send.
Newsletters are marketing emails. Recipients who unsubscribed from chapter emails are skipped for audiences that use the chapter suppression list. People cannot opt out of system emails. To compare newsletter, automated, global, and system mail, see Understanding Bevy Email Tools and Global Emails.
Your team role determines whether you can create and send chapter newsletters. Contact your community administrator with questions.
Create and send a chapter newsletter
- From the left sidebar of the Chapter Dashboard, click Emails.
- Click New email.
- Confirm From (your community name) and Sender email. These fields default to your chapter and may be locked for your community.
- If you see Use AI to fill out your subject and message, you can enter a prompt and click Generate. This control appears only when you create a new email and your community has it enabled.
- Select an Audience. If that audience requires an event, select the Event. The event can be in the future or in the past.
- Enter a Subject and Message.
- Optionally add upcoming events, discussions, local sponsors, or local partners.
- Click Save draft. Then use Send test or Preview.
- Click Schedule. Choose Send this email immediately and Send now, or Schedule this email for a future date and Schedule.
Choose recipients
| Audience | Who receives it | Event required |
|---|---|---|
| Chapter Members | Subscribed chapter members | No |
| People with event ticket (All ticket types) | People who have a ticket for the selected event and are subscribed | Yes |
| Chapter members without event ticket | Subscribed chapter members without a ticket for the selected event | Yes |
| Attendees who checked in | Subscribed attendees who checked in at the selected event | Yes |
| Attendees who did not check in | Subscribed attendees who did not check in at the selected event | Yes |

| Chapter members - never registered for an event | Chapter members who have never registered for an event | No |
| Event Chapter Teams | Chapter teams associated with the selected event | Yes |
If hybrid events are enabled for your community, you may also see People with in-person event ticket, People with virtual event ticket, and People with hybrid event ticket. Those audiences also require an event.
The Event selector appears only when the selected audience requires an event.
Write the message
Format body text by highlighting it. You can drag and drop images from your computer into the body. To link an image, add a text character before the image, link the character and the image, then delete the character.
Use merge tags in the message so Bevy inserts a value per recipient:
-
*|first_name|*or*|FNAME|*— first name -
*|full_name|*— first name and last name -
*|last_name|*or*|LNAME|*— last name -
*|collaborating_chapter_list|*— collaborating chapters, when the event is cohosted
Merge tags do not resolve on the edit page. Recipients see the substituted value in the sent email. On a public view-in-browser page without a recipient, name tags fall back to “Member.”
Upcoming events can be prefilled. Click Add upcoming events to include more, or click the X on a card to remove one.
If your chapter has discussions, sponsors, or media partners, use Latest discussions, Local sponsors, and Local partners to feature them. Those sections hide when there is nothing to add.
