Find, add, and update people from Members in the Admin Dashboard. Turn an account off, schedule a deletion, or cancel that deletion before the waiting period ends.
Find a member
- In the Admin Dashboard, select Members.
- Stay on the Members tab. The list shows 25 people at a time.
- Search, or move through the pages, until you find the person.
- Select the row to open that member.
| Column | What it shows |
|---|---|
| First Name | The name on the account. |
| Last Name | The family name on the account. |
| The address they use to sign in. | |
| Verified Email | Yes or No. |
| Role | The role on the account, or No role assigned. |
The search box says Search for a Member.
Note: This list is everyone on the community. People who belong to one chapter are managed in Chapter Members.
When Verified Email is No, open the actions on that row and select Resend verification email. If the action is disabled, the message is Email verification is disabled for this community. If you do not see the action, the address is already verified, or this role cannot change members.
Add a member
- On Members, select New Member.
- Fill in Personal Information. The picture is 400 x 400 pixels. JPG and PNG files.
- Under Select Role, choose the role. Leave it unset and the person is saved as User.
- Open Consent. Select This user consents to their signup and agrees to the terms and conditions.
- In How did they consent?, write how you know they agreed. The limit is 400 characters.
- Select Save Member, then confirm. The list opens again, and the message is The member was added.
| Field the form requires | What to enter |
|---|---|
| Member's Image | A picture. 400 x 400 pixels. JPG and PNG files. |
| First Name | At least 2 characters. |
| Last Name | At least 2 characters. |
| The address for this account. | |
| Website | A full address, such as https://example.com. |
| City | At least 2 characters. |
| Company Name | At least 2 characters. |
| Title | At least 2 characters. |
| About Me | At least 10 characters, and no more than 500. |
| Consent checkbox | Required. The person agrees to sign up and to the terms. |
| How did they consent? | Required. Up to 400 characters. |
Country, Time Zone, Industry, and Interests can be left blank. Interests says Type to add a new tag. Those tags can show on the public profile. They are not internal tags.
Warning: When the community uses single sign-on, New Member cannot create the account. The person joins by signing in. Who may create their own account is in Configure user account settings.
Note: Under Password, a checkbox can email a link so the new member can set a password. It shows when the role you selected can sign in. Inactive and Prospective User do not get that email.
Personal information
Open the member, then open Personal Information.
| Field | What it is |
|---|---|
| Member's Image | Profile picture. 400 x 400 pixels. JPG and PNG files. |
| First Name and Last Name | The name on the account. Each needs at least 2 characters when you can edit them. |
| The sign-in address. | |
| Website | A link, such as https://example.com. |
| Country, City, and Time Zone | Location and time zone. |
| Company Name, Title, and Industry | Work details. |
| About Me | Up to 500 characters. At least 10 when you can edit it. |
| Interests | Public tags. Type to add one. These can show on the public profile. |
Note: You can edit these fields when the person has never signed in, including a prospective user. After they have signed in, the fields are read-only here and the member updates them on their own profile. About prospective users explains that role.
Admin section
Admin Section is only for people who can open this member. Nothing in it shows on the public profile.
| Field | What it is |
|---|---|
| Internal Tags | Labels for your team. Type to find one, or type a new name and save. The shared list is in About internal tags. |
| Internal Notes | Notes for your team. Up to 500 characters. Search and reports do not treat these the same way as tags. |
Choose a role
- Open the member.
- Open Select Role.
- Select a role. The screen shows the role name and its description.
- Select Save Member, then confirm. The message is The member was edited.
| Role you will see | What it means |
|---|---|
| User | A standard member. They can sign in. |
| Prospective User | On the platform with an email, and sign-up is not finished. Do not switch this to User yourself. They finish sign-up or single sign-on with the same email. See About prospective users. |
| Inactive | The account is turned off. They cannot sign in, and they cannot sign up with this account. Use this when you need to block the account and keep it. |
| Any other name | A role your community created. What it allows is in About role management and permissions. |
Important: Inactive is not a deletion. The person, their email, and their history stay. Deletion is a separate button and a waiting period.
Note: Access to the Admin Dashboard itself is granted by Bevy Support or your Customer Success Manager. Choosing a role here does not open the dashboard for that person.
Social profiles
Open Social.
| Field | What to enter |
|---|---|
| A profile link, such as https://linkedin.com/in/you. | |
| A profile link, such as https://facebook.com/you. | |
| X | A handle that starts with @, such as @example. |
The same rule as Personal Information applies. You can edit these until the person has signed in. After that, they edit the links themselves.
Reset a password
- Open the member.
- Open Password.
- Select Reset Password.
- Confirm Send Password Reset. The message is A password reset email has been sent to this member.
Note: Reset Password is hidden for Inactive and Prospective User. Prospective users do not have a password yet. See About prospective users. If the community signs people in only with single sign-on, contact Bevy Support when someone cannot sign in.
Delete a member
Deletion does not finish when you confirm it. The account stays as it is until the date in the banner. The confirmation tells you how many days that is. The usual wait is 7 days. Contact Bevy Support if that wait should be different for your community.
- Open the member.
- Select Delete Account.
- Confirm you meant this account. The check depends on how your community signs in.
- Select Delete Account again. The message is This account will be deleted.
| How people sign in | What you enter |
|---|---|
| Single sign-on is on | Type DELETE. |
| Single sign-on is off | Enter your password, the one you use for the Admin Dashboard. This is not the member's password. Forgot password? opens a reset for your own account. |
A banner then says This account is set to be deleted on and shows the date. Until that date the person can still sign in, and their name and email stay. If you do not see Delete Account, this role cannot delete members, or a deletion is already scheduled. A scheduled deletion shows Cancel Deletion instead. If delete is refused, the message is You do not have permission to delete this user.
Cancel a deletion
- Open the member before the date on the banner.
- Select Cancel Deletion.
- Confirm. The message says the deletion is reverted and the user will remain active.
The success message is The account will not be deleted.
What deletion removes
When the date arrives, personal details are removed. The account row stays so past attendance can still be counted, without the person's name or email.
| Removed or changed | What you will see |
|---|---|
| Name | First and last name are cleared. |
| The address becomes a deleted address that starts with deleted+ and ends with @bevylabs.com. The original address can be used on a new account. | |
| Sign-in | They are signed out. The password no longer works, and the account cannot sign in. |
| Profile | Picture, banner, bio, country, city, website, company, title, industry, and social links are cleared. |
| Internal Notes | Cleared. Do not use deletion to store a note. |
| Single sign-on | The connection to the identity provider is removed. |
| Chapter teams | They are removed from every chapter team. If they were a payment lead, that chapter no longer has one. |
| Chapter membership | They leave current chapter memberships. The record keeps when they joined and the date they left. |
| Event surveys, comments, and waitlists | Survey answers are cleared. Comments are taken off public pages. Waitlist entries for that email are removed. |
| Contact lists | They are removed from contact lists. |
| Still there | Why it remains |
|---|---|
| The account row | Past attendance stays attached to an anonymous account. |
| Event attendance | The registration remains, without their name, email, company, title, or picture. |
| Chapter membership history | Join date and departure date stay on the membership record. |
Roles, chapter roles, and forum roles
The other tabs on Members edit roles, not a person's profile. Open About role management and permissions for those tasks. About reserved chapter roles covers the reserved checkbox on a chapter role.
| Tab | What it is for |
|---|---|
| Roles | Admin roles for the whole community. Shown for superusers. |
| Chapter Roles | Roles a person can hold on a chapter team. |
| Forum Roles | Roles for discussions. The tab is hidden when discussions are off. |
| Help | A permissions reference you can search. |
