From an event’s Registrations tab, refund a full Bevy Pay order with Refund total order when refunds are enabled for your community and you have permission. Refunds draw from the Stripe balance, must be within 180 days of the ticket purchase date, and remove attendees on that order from the event.
Refunds apply to paid orders collected through Bevy Pay. You issue them from the event Registrations tab in the Chapter Dashboard — not by deleting a registration. For the rest of the Registrations list (add, edit, remove, resend email), see Manage event registrations. For paid ticketing setup, see Bevy Pay Guide.
| Situation | What to do |
|---|---|
| Paid Bevy Pay order | Use Refund total order on the Registrations row when the action appears (refunds enabled + permission + amount greater than zero), within 180 days of purchase, with enough Stripe balance. |
| HQ-level Bevy Pay — missing enablement or permission | Community refunds must be enabled, and your chapter team role must allow processing refunds. If Refund total order is missing, ask a community admin to process the refund (or to enable refunds / update your role). |
| Stripe balance too low or empty | Refund in Stripe first when needed, then select Refund total order in Registrations so the dashboard removes the paid ticket and matches Stripe. |
| Chapter-level payouts — refunded only in Stripe | Payment leads can refund in their Stripe account, but Bevy does not update until someone selects Refund total order on the Registrations row. See Chapter-level payouts. |
| More than 180 days after purchase | In-product refund fails. Check the ticket purchase date; contact Bevy Support or your Customer Success Manager if you still need to resolve the registration. |
| Free RSVP / zero-price registration | There is no refund action. Remove the person with Delete if they should leave the list — see Manage event registrations. |
| External ticketing | Refund in your external ticketing or payment tool. Bevy does not show Refund total order when there is no Bevy order. |
| Partial amount | Not available here. Refund Amount is locked to the full order total. |
HQ-level Bevy Pay requirements
For communities on HQ-level Bevy Pay (payouts to the community’s HQ Stripe account), two things must be true before organizers can refund from Registrations:
- Refunds enabled for the community — a community admin or Bevy (via Support or your Customer Success Manager) turns on refunds for the site. Until then, Refund total order does not appear.
- Chapter team role permission — your chapter team role must include permission to process refunds (view orders and issue refunds). Without that permission, the action stays hidden even when refunds are enabled for the community.
If you cannot see Refund total order and you need a paid ticket refunded, contact a community admin to process the refund for you — or to enable refunds and update your chapter team role permissions.
Note: Chapter organizers do not enable community-wide refunds themselves. Ask a community admin, Bevy Support, or your Customer Success Manager if refunds should be on for your site.
Before you refund
- The event uses Bevy Pay for paid tickets, and the registration shows a paid amount greater than zero.
- For HQ-level Bevy Pay: refunds are enabled for the community, and your chapter team role allows processing refunds.
- The ticket purchase date is within the last 180 days. Refunds attempted after that window fail with an error.
- The connected Stripe account has enough available balance to cover the refund amount. Refunds are funded from the Stripe balance.
- You are working from the host chapter’s Registrations tab (the refund action is not available when you open a cohosted event from a cohost chapter).
- The order has not already been refunded in Bevy.
Refund the full order
- In the Chapter Dashboard, open Events and select the event.
- Select the Registrations tab.
- Find the registrant, open the row’s actions menu, and select Refund total order.
- Review the order header and the locked Refund Amount (full total only).
- Optionally edit the Message shown to the purchaser. The default explains that a refund was initiated and may take about 10 business days to appear in their bank.
- Select Refund total order to confirm, or Cancel to leave without refunding.
On success, you see an Order refunded confirmation and the Registrations list refreshes.
Important: Delete on a registration does not refund a paid order. Paid registrations cannot be removed with Delete — use Refund total order instead. Refunding removes everyone on that order from the event.
Stripe balance and low-balance refunds
When you select Refund total order, Bevy asks Stripe to refund from the connected account’s available balance. If the Stripe balance is less than the refund amount or empty, the refund fails in Bevy (often with an insufficient-funds error) and the registration stays paid on the list.
- Process the refund in Stripe so the purchaser is paid back.
- Return to the event Registrations tab and select Refund total order for that order.
Completing the Bevy step removes the paid ticket from the dashboard and aligns Bevy with Stripe — even when Stripe already completed the money movement. Do not stop after the Stripe-only refund if the attendee should leave the Registrations list.
Chapter-level payouts
If your community uses chapter-level payouts, the chapter payment lead can refund a charge directly in their linked Stripe account (Payment Dashboard). A Stripe-only refund does not update Bevy by itself — the registration can still show as paid until someone selects Refund total order on the event Registrations tab.
Prefer Refund total order in Bevy when the Stripe balance can cover the amount: that path refunds through Stripe and clears the paid ticket from the dashboard in one step. Use the Stripe-first path only when the balance is too low (see above), then always finish with Refund total order in Registrations.
What the purchaser receives
Bevy sends an Order Refund Confirmation email to the order purchaser. The email includes your Message, order details, and confirmation that the order is being refunded. Timing for the money to appear in the purchaser’s bank depends on their financial institution (often about 10 business days).
Tip: Edit the Message when you need a clearer reason for the attendee (for example, event canceled or duplicate purchase). Keep it short and specific — it appears in the refund confirmation email.
If the refund fails
- More than 180 days after the ticket purchase date — in-product refund fails. Confirm the purchase date on the registration; contact Bevy Support or your Customer Success Manager if you still need to resolve the attendee.
- Insufficient or empty Stripe balance — refund in Stripe first, then select Refund total order in Registrations so the dashboard updates.
- Other processor errors — try again later, or contact Bevy Support or your Customer Success Manager.
Do not use Delete as a substitute for a refund on a paid order.
