Send a one-time HQ newsletter from Admin Dashboard Emails to a site-wide audience, including custom segments. Save as draft, send a test, preview, then send now or schedule for later.
Before you start
A global email is a one-time HQ newsletter. Headquarters writes it and sends it to a site-wide audience. It is not a chapter newsletter, and it is not a trigger. Recipients who unsubscribed from the global list are skipped.
Creating a send requires the Add global newsletter permission. That is not the same as any Admin Dashboard user. See About role management and permissions.
To tell global mail apart from chapter, automated, and system mail, see Understanding Bevy email types.
Do not look for chapter audiences such as Chapter Members or event ticket holders here. Those belong to Send a chapter newsletter. Custom segments belong to this HQ composer.
Open global newsletters
- In the Admin Dashboard, open Emails.
- Open the Newsletters tab.
The list can show Subject, From chapter, Audience, Status, and Sent. Use Search, filter by Status, or filter From chapter. Choose Global to see HQ newsletters only. Chapter rows on this list are chapter newsletters, not this how-to.
Create and send a global email
- Click New email.
- Confirm From and Sender email. Enter your community or chapter name in From. Sender email may be locked for your community.
- Enter a Subject and write the Email content.
- Under Schedule & send, choose an Audience.
- Choose Send now or Schedule for later.
- Click Save as draft. Then use Send test or Preview.
- Click Send for an immediate send, or pick a date and time and click Schedule.
The From field can still say From (your name or group name). That string is leftover. Use a community or chapter name, not “group.”
Choose recipients
Global sends use the global email subscription list, not a chapter General list. Manage that list in How to Create and Manage the Global Email Subscription List.
| Audience | Who receives it | Event required |
|---|---|---|
| All site members | People subscribed to the global email list. | No |
| Custom audience | People who match the rules you add. Still drawn from the global list. | No |
Custom audience appears when your community has audience filtering. If you do not see it, use All site members.
When you select Custom audience, add one or more rules. Combine them with AND or OR. Bevy estimates the list size as you build the query.
| Rule | What it matches |
|---|---|
| Chapter | People associated with a selected chapter. |
| Event Registration | People registered for a selected event. |
| Team Role | People with a selected chapter team role. |
| Role | People with a selected site role. |
| Country | People whose profile country matches. |
| City | People whose profile city matches. |
| State | People whose profile state matches. US and Canada only. Some communities do not show this rule. |
Write the message
The composer is a content builder. Format body text in the editor. You can include discussions when that component is available.
Use merge tags in the message so Bevy inserts a value per recipient:
-
*|first_name|*or*|FNAME|*— first name -
*|full_name|*— first name and last name -
*|last_name|*or*|LNAME|*— last name
Merge tags do not resolve on the edit page. Recipients see the substituted value in the sent email. On a public view-in-browser page without a recipient, name tags fall back to “Member.”
These are newsletter merge tags. They are not the system-email dynamic tags typed with a single asterisk.
Preview, test, and send
- Click Save as draft. Send test and Preview stay unavailable until the email is saved.
- Click Send test, enter one or more addresses (comma-separated), and click Send.
- Click Preview to open the email in a browser.
- Under Schedule & send, select Send now and click Send, or select Schedule for later, pick the date and time, and click Schedule.
Edit or duplicate
On the Newsletters list, open the row menu:
- Preview — available for sent, scheduled, and draft emails when a preview link exists.
- Edit — scheduled and draft emails. Sent emails cannot be edited.
- Delete — scheduled and draft emails.
- Duplicate — HQ (global) emails, when duplication is enabled. It is not available on chapter rows.
Duplicating opens Duplicate email as a new draft. Edit it, then save or send.
