Use the People tab in the Event Dashboard to add speakers, hosts, mentors, and other event-type roles, create or reuse person profiles, and control who appears on the event page.
Note: This article covers the People tab in the chapter Event Dashboard (new dashboard). For the older dashboard path, see Add a speaker profile (Legacy Dashboard). For Bevy Virtual Conference sessions, adding people to the event is separate from assigning them on a session in Agenda Builder—see Add speakers and sponsors to the agenda.
Before you start
Event people are profiles you attach to an event under roles such as speakers, hosts, mentors, facilitators, panelists, judges, or moderators. Use the People tab to create profiles, reuse existing ones, and control who appears on the event page for each role.
Which roles you can manage depends on the event type configured for your community:
- Each role has a minimum and maximum count on the event type.
- A role with a maximum of 0 is not allowed for that event type, so its section is hidden on the People tab.
- If the event type allows no people roles at all, the People tab does not appear in the event navigation.
Open the event from the hosting chapter dashboard. A cohosted-chapter view does not include the People tab—switch to the host chapter if you need to manage people.
Person profiles are shared across your organization. After you create a profile once, you can search for it and add it to other events. Editing a shared profile updates it everywhere it is used.
Open the People tab
- Open the chapter dashboard for the chapter that hosts the event.
- Select Events in the left sidebar.
- Open the event.
- Select the People tab.
If the People tab is missing, check the following:
- Event type: The event type may not allow any people roles (every role maximum is 0). In that case the tab does not appear. An admin must update the event type if people should be managed for this kind of event.
- Cohost chapter: You may be viewing the event from a cohosted chapter. The People tab is available only from the hosting chapter dashboard. Open the event from the host chapter instead.
Which roles appear
Each allowed role is an accordion section. The helper text under the section title shows either Up to N supported or Minimum N required, up to N supported, using the counts from the event type.
| Role section | When it appears |
|---|---|
| Speakers | When the event type allows speakers (maximum greater than 0). |
| Mentors | When the event type allows mentors. |
| Facilitators | When the event type allows facilitators. |
| Panelists | When the event type allows panelists. |
| Judges | When the event type allows judges. |
| Moderators | When the event type allows moderators. |
| Hosts | When the event type allows hosts. |
Tip: Role labels on the public event page can follow your community’s style terms (for example, a renamed Speakers heading). Dashboard section titles still use the standard role names listed above.
Add an existing person
If the person already has a profile in your organization, add them from search instead of creating a duplicate.
- On the People tab, open the role section you need (for example, Speakers).
- Select Add speakers (or Add mentors, Add hosts, and so on for that role).
- In the dialog, search by name.
- Select Add on each matching profile you want on this event. Select Remove if you need to take someone back out of the selection before you close the dialog.
- Close the dialog when you are done selecting people. Their cards appear in that role section.
- Select Save draft or Publish on the People tab to save the event. Adding people in the dialog alone does not persist the roster until you save.
Empty sections show No {role} have been added yet until you add someone. Prefer search when the person may already exist so you reuse the organization-shared profile.
Create a new person profile
Use Create new only when search does not find the person. The new profile is shared across your organization and can be added to other events later.
- On the People tab, open the role section you need.
- Select Add for that role (for example, Add speakers).
- Select Create new.
- Complete the profile fields (see the table below). First name and Last name are required.
- Select Save on the profile modal. Bevy creates the organization-shared profile and adds it to that role list on this event.
- Select Save draft or Publish on the People tab to save the event roster.
Saving the modal creates or updates the profile and places it on the role list. You still need Save draft or Publish on the People tab to persist the event.
| Field | Required | Notes |
|---|---|---|
| Photo | No | Optional profile image. A placeholder avatar is used if you skip it. |
| First name | Yes | Required to create or save the profile. |
| Last name | Yes | Required to create or save the profile. |
| Title | No | Job title or role label shown with the person. |
| Company name | No | Optional organization name. |
| Personal x.com/ | No | Username only (path after x.com/). |
| Company x.com/ | No | Username only (path after x.com/). |
| linkedin.com/ | No | Path after linkedin.com/. |
| No | Shown only when person-to-user linking is enabled for your community. | |
| Biography | No | Rich text. Up to 3,000 characters. Can open in a bio overlay on the event page. |
Edit, reorder, or remove people
Each person on the People tab appears as a card in their role section. Use the card actions menu to edit the shared profile, change display order, or remove them from this event.
Edit a person profile
- On the person’s card, open the actions menu.
- Select Edit.
- Update the profile fields, then select Save on the modal.
- Select Save draft or Publish on the People tab if you also changed who is on the event roster.
Edits update the organization-shared profile, so the same changes appear on other events that use that profile.
Reorder people in a role
- On a person’s card in that role section, open the actions menu.
- Select Sort.
- Drag cards to set the display order for that role.
- Select Save draft or Publish on the People tab to save the order.
Order on the People tab is what People components can use on the public event page for that role.
Remove a person from this event
- On the person’s card, open the actions menu.
- Select Remove.
- Select Save draft or Publish on the People tab to save the change.
Remove takes the person off this event only. The organization-wide profile remains available to search and add on other events.
Note: Editing a profile updates that person everywhere the profile is used. Removing someone from an event does not delete the organization-wide profile.
Meet role minimums and maximums
Each role on the People tab follows the minimum and maximum counts configured on the event type. Those limits appear as helper text under the section title:
- Up to N supported — the role is optional (minimum is 0). You can leave it empty or add up to N people.
- Minimum N required, up to N supported — the role is required. You must add at least the minimum before you can publish, and you cannot exceed the maximum.
When a required role is still short of its minimum:
- The event navigation can show that People are required.
- Publish stays blocked until every required role meets its minimum.
- You can still use Save draft while you finish adding people (subject to maximum rules below).
When a role is over its maximum:
- The Add dialog does not always stop you from selecting one more person before you save.
- Saving the event fails with a message that you can only add up to the allowed count (for example, You can only add up to…).
- Remove the extra people from that role, then save again.
If you try to save below a required minimum, Bevy can also return a message that you must include at least the required count. Add the missing people, then save or publish again.
Tip: Use the requirements progress controls on the People tab to see which roles (or other event requirements) still need attention before publish.
How people appear on the event page
The People tab is the roster for the event. The public event page shows that roster only where the event page template includes People components from Event Page Builder.
Each People component can:
- Show people from all roles on the event, or
- Filter to one role (for example, Speakers only or Hosts only).
Display order on the page follows the order you set on the People tab for each role. If a person has a biography, visitors can open a bio overlay from their card. Role headings on the public page may use your community’s style terms (for example, a renamed Speakers label); the dashboard still uses the standard role names.
If people do not appear on the public page, check all of the following:
- The event is published (or you are using preview).
- The person is saved on the People tab under the role you expect.
- The event page template still includes a People component, and that component is set to the correct role filter (or all roles).
This article does not cover placing or configuring People components. For layout and component settings, see About event page builder components and About the event page builder.
Conference agenda speakers
For Bevy Virtual Conference events, adding people and putting them on a session are two different steps:
- People tab — builds the event’s people roster (speakers, hosts, and other allowed roles). Profiles must exist here first.
- Agenda Builder session details — assigns people from that roster to a specific agenda session (and manages sponsors on the agenda).
Adding someone on the People tab does not automatically place them on a session. Assigning someone on a session does not replace managing the People tab roster for the event page and role minimums.
Do not use this article for Agenda Builder steps. After the people profiles exist on the event, follow Add speakers and sponsors to the agenda to assign them to sessions.
