Learn how to join sessions, networking tables, and booths during a Bevy Virtual Conference, and what to expect in each space.
A Bevy Virtual Conference has three main spaces you can take part in: sessions on the agenda, networking tables, and sponsor booths. You move between them using the icons in the left sidebar. This article explains how to join each one.
Join a session
Sessions run in two ways:
Stage sessions — large sessions that play on the main stage(s). You join to watch and your interactions may be limited to chat or Q&A, if enabled by conference organizers.
Standard sessions — smaller sessions that you join where attendees can interact with the presenters by using the raise hand feature and moderators/hosts can give the attendee access to presenter mode and appear on the session stage.
To join a session:
- Open the Agenda from the right sidebar. Stage and standard session are accessible to attendees 15 minutes prior to the start time. Until then, the Join button will be grayed out.
- Find the session you want to attend and click the Join button.
- If it is a stage session, you go straight to the stage. If it is a standard session, the hair check screen will appear where you can set your display name, check your audio, video, and internet connection. Once set, then select Join again.
The Agenda shows current and upcoming sessions by default. To see sessions that have already happened, turn on Show past sessions at the top of the Agenda.
Join a networking table
Networking tables work like small tables at an in-person event, and they stay open throughout the conference. They are a good way to meet other attendees around a shared topic.
To join a networking table:
- Select the Networking icon in the left sidebar.
- Find a table and select Join.
- Set up your name, camera, and microphone, then select Join again to sit down at the table.
Each table seats a limited number of people that is set by conference organizers, so a table can fill up. If a table is full, you will only be able to interact using the table chat and will not be seen on the screen. You can join another table or check back shortly for when a space is free.
Visit a booth
Booths work like sponsor booths at an in-person event and stay open throughout the conference.
To visit a booth:
- Select the Booths icon in the left sidebar.
- Choose a booth to enter it.
Inside a booth you may find information about the sponsor, links or resources to explore, and a chat where you can ask questions.

Use Markdown to add bold, italics, lists, links, and code formatting to your messages in the conference chat.
What Markdown is
Markdown is a simple way to add formatting to text by typing a few extra characters. In the conference chat you can use it to make text bold or italic, add a link, create a list, or show code.
Format your chat messages
Type the characters shown below around your text. The table shows what you type and how it appears in the chat:

For a bullet list, put each item on its own line and start each line with a dash and a space.
Conference attendee FAQs
Answers to the questions attendees ask most often during a Bevy Virtual Conference, from logging in to audio and video.
Why can't I log in to the conference?
Every attendee needs an account on the event site. If you cannot log in, you may have registered through a different system. Go to the login page, select Create an account, and accept the terms and conditions. You can also add /accounts/login to the end of your event's web address (for example, eventsiteurl.com/accounts/login).
Will recordings be available?
Please contact your conference host for recording availability. You can also ask in the conference chat or DM conference hosts for details (if chat and DMs enabled for the conference).
How do I move to another session?
Use the Agenda to join a different session. Select the Agenda icon in the left sidebar and choose a session. If you are already in a session, you will leave it when you join the new one.
Why is my chat muted?
Conference hosts can mute chats as part of moderating the event. If your chat is muted, the host has turned off chat for that space.
How do I change my display name?
To change your display name, contact a conference host. You can also submit a request at help.bevy.com or through the Support tab in the conference.
Why do I see a spinning wheel, or why can't I get into a session?
For the best experience, use the Chrome browser. If the problem continues, see our troubleshooting tips. If you see a message that the media could not be loaded, the stage may not be broadcasting yet — check with the hosts in the chat.
Why can't I join the breakout room?
Once a host starts breakout rooms, anyone who arrives later cannot join until the host ends the current breakouts and starts new ones. Wait for the next round of breakouts to join.
Why isn't my audio or video working?
Camera, microphone, and screen sharing are available to presenters. At a networking table, you can use your camera and microphone up to the table's seat limit — if the table is full, you can still take part using the table chat.
Can I save the chat transcript?
You cannot save the chat directly, but you can copy, paste, or take a screenshot of the parts you want to keep. For a full chat transcript, contact your conference host.
