This documentation provides a comprehensive guide to creating events on the community platform.
Creating a New Event
In order to create a new event, you have two options:
- From the Events list, click on the new event button
- When clicking the New Event button, a list of available event types is presented. You'll need to select the proper one for the desired event.
- On the group Home page, we recommend using the AI Event Suggestions based on your past events or your group's interest(s).
- Click the Create to get started with a pre-filled event edit form that you can further customize
Event Edit Form
AI Prompt
The AI prompt on the event edit form streamlines the process of creating events by helping users create event titles and descriptions. Based on the organizers input, the AI prompt automatically generates or updates the title and description of the event, ensuring that these bodies of copy are aligned and relevant with the organizer's desire.
In order to use it simply enter your command and hit the Generate icon, this will populate the Event's Title and Description based on your input.
AI Controls in the platform allow for real-time adjustments to event titles and descriptions. This allows the organizer to modify either the event title or description in the following ways:
- Tonal control: Modify the AI’s suggested copy to be more informal or formal as needed.
- Length control: Increase or shorten the length of the AI's suggested copy.
- Regenerate: Keep regenerating AI suggestions to find the ideal fit for your event.
Event Thumbnail
Upload an image to act as a thumbnail for the event. This is also used as the image for social sharing.
Event Details
- Title: Enter the title of your event.
- Description: Provide a description of the event.

Event start and end time: Set the start and end times of the event. You can also specify the timezone for these dates.
The Short Description field has been deprecated in the new dashboard. Currently, the short description is automatically truncated from the main event description; however, in the future, this content will be generated by AI
Event Location
Choose the venue of the event from the following options:
- Virtual: Events that take place on Bevy virtual meetup (BVM) or an external platform. If BVM is selected a link for the virtual event will be provided. See Bevy Virtual Meetup Settings below for additional virtual settings
- In-person: Events that physically occur at a specific location.
- Hybrid: Events that occur both in-person and virtually simultaneously. Options available for the other event types are also available here.
Bevy Virtual Meetup Settings
- Auto record: enable this check box to automatically start recording when Bevy virtual event starts.
- Private Q&A: when selected, participant questions are only visible to event hosts.
- Disable chat: select this check box to disable chat and direct messages for the BVM event.
- Interactive mode: when selected, audio and video for the first 1000 participants will be automatically enabled.
- Add instructions: This allows event organizers to add additional information regarding the event and how to participate on it. This information is shared on event related emails.
RSVPs Tickets Configuration
You can edit or create new RSVPs by clicking the Add RSVP button.
For each RSVP type, you can define the following:
- RSVP Title: Name of the RSVP.
- RSVP Venue: This setting allows you to specify whether an event has options for In-Person or Virtual attendance. Note that an "In-Person" ticket (regardless of price) automatically grants access to the virtual event as well. Be aware that physical attendance at the in-person venue may be subject to limitations based on space or organizer preferences.

Advanced settings:
- Configure sales date ranges.
- If Availability start is left blank, the ticket will become available immediately
- if Availability end is left blank, the ticket will be available until the event's end date
- Enable waitlists.
- Configure sales date ranges.
Users can also set the venue's maximum capacity, which sets the total amount of RSVPs that can be sold for that event, considering all existing RSVP types
- If at least one ticket of a specific RSVP type has been sold, the RSVP's venue is locked, so community owners cannot edit it.
- The RSVP's venue cannot be incompatible with the Event's venue, i.e., a virtual event cannot have in-person RSVP types. If you need multiple venues for your RSVPs, your event's venue should be hybrid.
Additional Settings
Admins and organizers can create a hidden event if the event is meant to be private and not displayed on public pages automatically when published. Admins and chapter team members with event creation permissions can make an event hidden and disable/enable certain settings regarding chapter page display of the event, social sharing, and automated emails.
- Test Event: Sets the event as Test. Test events will not have any analytics for that event in any dashboards. Automatically makes it hidden.

Hide this event on Public Pages: Hidden events do not display on public group pages, upcoming events, or past event pages. The event URL or event permalink is needed to access the event page. When an event is marked as hidden, there are a few options that can be disabled or enabled.
- Show event on chapter page: show hidden events on the homepage of a chapter. Chapter team members will see the hidden events on the chapter event list regardless of this setting.
- Disable social sharing: social sharing icons will not appear on the event page or emails.
- Allow automated emails: Unless selected, Bevy will not send automated emails for this event.
- Event tags: Allows to add tags to the event, used to identify certain keywords that describe and categorize the event more specifically and make them easier to find. You can find more information on how to set these tags here
