Connect one Google Calendar from Settings → Integrations so published Bevy events post as calendar invites. A community admin turns Connect on, authenticates with Google, picks the calendar, then tests with a published event.
Bevy posts published public events one-way into a single Google Calendar you connect. Bevy sends those updates through the Google Calendar API. Changes you make in Google Calendar do not write back to Bevy. For a shorter overview of what syncs, see Google Calendar integration - Introduction.
Who can connect
A community admin connects Google Calendar from Settings → Integrations in the Admin Dashboard. If you do not see the Google Calendar card, contact your Customer Success Manager or Bevy Support.
Before you connect
- Decide which Google account and calendar should receive community events. You can connect only one calendar at a time.
- Prefer a personal or sandbox calendar for the first test. After testing, change the connected calendar to your production calendar (see Change the connected calendar).
- Plan to publish a short test event after Connect finishes. Events that were already published before you connect are not backfilled.
Connect Google Calendar
- Sign in to the Bevy admin dashboard as a community admin.
- Go to Settings → Integrations (
/accounts/dashboard/#/admin/settings/integrations/). - Find the Google Calendar card and turn Connect on. A setup wizard opens in a popup window.
- In the wizard, sign in with the Google account that owns the calendar, and approve access when Google prompts you.
- Select the calendar that should receive Bevy events, then finish the wizard and close the popup. Bevy enables the connection. The Connect toggle stays on.
Note: The first time you enable the integration, Bevy does not backfill invites for events that were already published. After Connect, publish or republish an event to place it on the calendar. The same rule applies after you reconnect.
How data is sent
Bevy uses the Google Calendar API to create and update calendar invites on the connected calendar. Sync is one-way from Bevy to Google Calendar.
What appears on the calendar invite
Each published public event maps to a calendar invite with these defaults:
| On the Google Calendar invite | From Bevy |
|---|---|
| Title (summary) | Event title |
| Description | Short event description |
| Location | Physical address for in-person events; event URL for virtual events |
| Start and end | Event times (stored in UTC; Google Calendar shows them in the viewer’s timezone) |
| Visibility | Follows the connected calendar’s default settings |
| Guests can modify / invite others | No |
- Hidden events are not synced.
- Draft events are not synced.
- Timezones: Bevy stores event times in UTC. Google Calendar shows those times in the timezone of the calendar (or the person viewing it).
- Recurring events: When a recurring event is created in Bevy, Bevy adds one calendar invite per occurrence. Those invites are not linked as a single recurring series in Google Calendar.
When invites update
Every time you publish or republish a public event in Bevy, Bevy creates or updates the matching Google Calendar invite — for example when the start or end time changes. Canceling an event in Bevy removes the matching invite from the calendar.
Bevy queues the update after publish or republish. The invite usually appears or updates in Google Calendar within about five minutes. You cannot change that timing.
Test the connection
- Finish Connect in the wizard so the Connect toggle stays on.
- In Bevy, create a short public test event and publish it (or republish an existing public test event).
- Within about five minutes, open the connected Google Calendar and confirm the invite. Check the title, times, location or event URL, and description against the Bevy event.
- Optional: change the event in Bevy and republish, then confirm the invite updates. Cancel the test event in Bevy and confirm the invite is removed.
- If you tested on a personal or sandbox calendar, change the connected calendar to your production calendar before go-live (see Change the connected calendar).
Tip: Use a calendar you can open without disrupting your production community calendar while you validate the first few publishes. After testing, update the integration and select the correct production calendar.
Change the connected calendar
You can connect only one Google Calendar at a time. To point Bevy at a different calendar:
- On the Google Calendar card, select edit to reopen the setup wizard.
- Authenticate again if prompted, then select the new calendar and finish the wizard.
Invites already on the previous calendar are not moved or deleted automatically. New publishes and republishes go to the calendar you just selected.
Disconnect or reconnect
- Disconnect: Turn Connect off and confirm. Syncing stops. Invites that were already created on the Google Calendar remain there; Bevy does not delete or update them while the integration is off.
- Reconnect: Turn Connect on again and finish the wizard. Bevy creates new calendar invites only when you publish or republish an event after reconnecting. Events that stayed published while the integration was off are not backfilled until you republish them.
If you delete an invite in Google Calendar
If someone deletes a calendar invite directly in Google Calendar, that invite is permanently removed from the calendar — even if you later update the event in Bevy and republish. Bevy does not recreate a deleted invite automatically.
You can restore a deleted invite from the Google Calendar trash while it is still there. Prefer canceling or updating the event in Bevy when you want the invite to stay in sync.
Important: Avoid deleting invites only in Google Calendar. Manage cancels and updates in Bevy so the calendar invite stays aligned.
