This article outlines how to manage host controls within a Bevy Virtual Community or Bevy Virtual Conference event.
All members of the Chapter Team automatically join the conference as a host. Alternatively, hosts can promote other attendees to a host role within the conference experience.
Hosts can:
- Join any session
- Add other hosts
- Promote an attendee to a presenter
- Access backstage
- Access attendee information
- Start / stop recording
- Moderate chat
- Enable and manage Q&A
- Simulcast a live session
Add other hosts
As a host, you can provision host access to others during the event.
- Within the event, click the Attendees tab.
- Click the drop-down arrow next to the attendee's name.
- Click Set as Host.
If a promoted host moves to another area within a conference event (e.g., Networking Table, Booth, etc.), the host permissions go away.
Enable presenter mode for yourself
Presenter mode allows access audio/video and screen share controls.
- Upon joining an event as a host, you will be prompted to enable presenter mode.
- Click enable. You will now see your audio, video, and screen share controls.
Enable presenter mode for others
You may enable presenter mode for any attendee that needs audio, video, and screen sharing controls.
- Within the event, click the Attendees tab.
- Click the drop-down arrow next to the attendee's name.
- Click Presenter mode on.
Once an attendee is given presenter mode, they will see a modal asking them to accept this access. They'll also see browser checks asking them for permission to access their camera and microphone.
- After a speaker is done with their session, you will want to turn their presenter mode off so they don't remain in the video grid.

End the event early
As a host, you can end the event before the designated end time.
Ending an event for all is final. Ending a multi-day event early applies to the remaining days of the event.
- At the bottom of the event, select the Leave button.
As a host, this opens a menu with the options to end the event or leave the event. - Select End event for all.
This ends the event for everyone and can't be undone.
View a list of check-ins
Anyone who attends a Bevy Virtual or Virtual Conference event will be auto-checked in. You can export an attendee list after the event.
Join the event before it starts
After you RSVP, Hosts & Team leads can access BV & BVC events anytime before they start by using Calendar, Email, or Backstage links.
The Join button on the Event page doesn't work the same way.
