Chapter access and status are settings in the chapter Overview setting in the chapter dashboard. Access refers to the ability of the chapter to be made private or hidden. Status refers to whether the chapter is active or inactive, a test chapter, or a sub-chapter.
Chapter Access
Private Chapter
Making a chapter private means that members can only be added by HQ admins or chapter team members who have the appropriate permissions. The chapter’s events and discussions are only accessible to approved members. Non-members cannot access a private group's events and discussions or discover it through searches. After a chapter is set to private, this status becomes permanent. This is to ensure the privacy of its members and the content shared within the group.
Once a chapter is private, it cannot be disabled in the chapter dashboard back to public. This restriction is in place to maintain the confidentiality and exclusivity of the chapter's content and discussions. Please contact Bevy Support if you need assistance with changing the chapter access to public.
Adding members
Private Groups are exclusive; non-members cannot join unless an HQ admin or chapter team member adds them to the membership dashboard.
Here's how members can be added:
- Manually: Admins or group leaders can add individual members.
- Via CSV: Members can be uploaded in bulk using a CSV file.
- Via API: Super Admins have the option to add members through an API (see Bevy API documentation for details).

- This list can be hidden from non-members using the Page Builder display rule. Apply the "Members Only" display rule to the container holding the Latest Discussions list. Note that even when hidden, these discussions remain accessible via the API.

Hidden Chapters
Hidden chapters function identically to public chapters, with the sole distinction that they are undiscoverable by users unless accessed directly via a link. This functionality also applies to hidden events.
Event Visibility and Functionality
Event Visibility
All events hosted within hidden chapters are hidden by default and cannot be made visible.
Analytics
Data from hidden chapters is included in all analytics as normal.
Cohosted Functionality
Hidden chapters can utilize cohosted event functionality:
- Hidden Chapter as Collaborator: If a hidden chapter is a collaborator on a hidden event, users can find the cohosted event in the hidden chapter's upcoming events section. Users will be redirected to the main event page for registration.
- Hidden Chapter as Host: If a hidden chapter is hosting a cohosted event, users accessing the event page from a collaborator chapter will see a "This is a hidden event" pop-up upon redirection.
Chapter Status
Chapters can be designated as either active or inactive, test, or sub-chapter.
Active or Inactive
Chapters can be either active or inactive. Inactive chapters are exclusively available to administrators or members of the chapter team, whereas active chapters are accessible to all users.
For chapters with inactive status:
- Only admins and members of the chapter team can access them.
- They cannot be added as collaborators for co-hosted events.
- Events published within these chapters are exclusively accessible to admins and chapter team members.
- The chapter page will not be displayed.
Data from inactive chapters is included by default in the analytics tabs. If needed, you can exclude this data using the Chapter Status filter. Inactive chapters are included in analytics because the activities within those chapters, even if moved from an active status, can still offer valuable account information.
Test Chapters
Setting a chapter as a "Test Chapter" excludes its data from analytics. Otherwise, test chapters function identically to regular chapters. Unless the test option is used with the hidden or inactive setting, the test chapter will be visible to all users but will not appear in the Analytics sections.
Enable Subgroups
Enabling this option allows the chapter to be become a parent chapter of another chapter. Learn more here about Enable subchapters.
Chapter Deletion Policy
Bevy does not offer a direct, user-accessible function for permanently deleting chapters. Instead, you can manage chapter visibility and accessibility through status changes, such as setting a chapter to "Inactive" or moving it to a "Test" environment. This policy is in place to maintain data integrity and prevent accidental data loss. Chapters often contain valuable information, event history, and community interactions. By limiting direct deletion, we ensure that these resources are preserved unless absolutely necessary.
