Cohosted events

This article explains what a cohosted (co hosted) event is, how chapter organizers host one, and how chapter organizers help share them as collaborators.

Understand cohosted events

A cohosted event is an event that multiple chapters host together. One chapter creates and manages the event, and other chapters share it with their members. The event displays with their upcoming events, even newsletters. This means that the event is managed in one place, but displays on all chapters. Collaborating chapters select the events they want to share with their members, and hosts can see other chapters involved.

When chapter members look at the upcoming events for their chapter, cohosted events are included in the lists. They have a cohosted label. They don't have to do anything different from register for the event. 

The chapter hosting the event manages everything – this includes things like the event details, registration, and emails. Only the host chapter can edit the event.

In the dashboard, host chapters see a cohosted event label on the event. Collaborators see the event with a label that has the host chapter's name. 

Host a cohosted event

After you create an event, you can allow other chapters to promote the event. When chapter organizers view the event page, they can choose to cohost it. You can enable and disable cohosting for an event until other chapters start collaborating. 

You can send emails and forms to the chapter team members of collaborating chapters, similar to how you can contact your chapter team members for an event.

Admins can add multiple chapters, or all chapters, as collaborators for an event. Learn more in Cohosted event settings.

If you're the host of a cohosted event, you're the only one that can edit it. 

To make a cohosted event:

1. In the dashboard, create an event, and then click the Cohost tab.
   
2. Select the Make this a cohosted event checkbox, and then select Save.
   After people start collaborating on this event, you can see them listed on this page.

After you make a cohosted event, you can make it easier for people to collaborate by sending them the event link.

To share the link:

1. In the dashboard, go to your events.
2. Open the menu for the cohosted event, and then select Copy link. This copies the event link to your clipboard, so you can share it.

Remove collaborators

At any time, you can remove collaborators from a cohosted event. However, as long as an event is cohosted, other chapters can add themselves as collaborators at any time.

Before you can remove cohosting from an event, you need to remove all collaborators.

To remove collaborators:

1. In the dashboard, go to the cohosted event.
2. On the Cohost tab, select Remove to remove a collaborator.
   This opens a dialog window.
3. Select OK to confirm the change.
   This immediately removes the collaborator. 

Collaborate on a cohosted event

You can only collaborate on an event if the event host enables cohosting. That is, you can't share all events on your chapter page – only ones when hosts allow it.

When you decide to collaborate on a cohosted event, you are helping market and share the event.

• You can see the event in the dashboard with your other events

• Include it in newsletters as an upcoming event

• You will only see attendees who have registered via your chapter

• You can't make any changes to the event

To start collaborating:

1. On your community website, go to the event page.

2. When you are signed in, you can select the Cohost event button at the extreme top of the page

3. If you're the organizer of more than one chapter, select the chapters you want to add as collaborators. 

Your chapter members see cohosted events with your other chapter events. When they click on the event, they're taken to the host chapter event page to register.

To stop collaborating:

1. In the dashboard, select Events in the sidebar menu.
2. Find the event you intend to remove.
3. Open the menu for the event, and then select Remove.

Expanding your reach by cohosting events

Cohosted events present an incredible opportunity to tap into the collective audience of multiple chapters. When an attendee RSVP for a cohosted event, they are not only joining the event, but also receiving a callout to join the cohosting chapters.

This means that your chapter gains exposure to a whole new audience of potential members, significantly expanding your reach beyond your existing member base.

Manage attendees as a collaborating chapter

You can see and manage the registered attendees via your chapter as a collaborating chapter.

1. Navigate to your chapter

2. Select the event that you are collaborating with someone else

3. Click anywhere on the card to be taken to the Attendee List

4. Your list of attendees that have registered via your chapter will be shown

5. You can edit them, check them in, or remove them from the event

The Attendee and Check-in count will be that of the entire event, not the count of your attendees
