When you can enter a Bevy Virtual Meetup event depends on your role. Everyone needs a valid RSVP. Hosts and chapter team members can join before the start time; attendees join from the event page starting 15 minutes before.
To enter a Bevy Virtual Meetup event, everyone needs:
- A community account.
- A completed RSVP (ticket) for the event.
- The same email address they used to register.
If you select Join before you are allowed in, the event page explains that the session is not open yet. That is expected, and it does not mean the Join button is broken. Bevy Virtual Meetup does not use a waiting room.
Hosts, moderators, organizers, and chapter team
Site admins and chapter team members with host permissions can join at any time before the event starts, as long as they have RSVP’d. Use one of these links, not the public Join button, which follows the 15-minute attendee window:
- The Virtual join link for hosts on the event edit page in the chapter dashboard.
- The virtual URL in the ticket confirmation email.
- The link on the calendar invite.
Promoting someone to moderator during a session does not, by itself, give them dashboard access or a way to join the next event early. For early access, they need chapter team (or site admin) permissions and an RSVP.
Attendees
Attendees select Join on the event page starting 15 minutes before the scheduled start time. They cannot use the host link to enter earlier.

Does Bevy Virtual Meetup have a waiting room?
No. Bevy Virtual Meetup does not have a waiting room. The virtual URL in the ticket confirmation email, the calendar invite, and the event edit page (the Virtual join link for hosts) let eligible hosts enter the live session. Use that time to pin chat messages, run a tech check, and test screen share.
If a host joins early, can attendees join early too?
No. Attendees can join starting 15 minutes before the event start time, using the Join button on the event page.
Do host, moderator, or speaker labels on the event page grant early access?
No. Early access comes from being a site admin or a chapter team member with host permissions, plus an RSVP. The host, moderator, and speaker labels on the event page do not grant dashboard or early-join permissions.
Must early joiners be registered?
Yes. Early joiners must be registered for the event and on the chapter team.
