This article describes the Private Rooms feature in Bevy Virtual Conference. Private Rooms let you network with individual attendees.
In Bevy Virtual Conference, all event attendees have a private room, for which they are the host. Private rooms can hold up to 50 people (including the host) for a video or audio conversation. Everyone in the room can screen share and each room has its own chat.
Private rooms are enabled for an entire instance, and not by event. You can view invitations you’ve sent and received to private rooms in the Direct Message tab in your chat window.
For security purposes, only you can invite others to your room. You cannot add people to someone else’s room.
Invite others to your private room
When you invite an event attendee to your private room and they accept the invitation, you are both moved from wherever you were into that room. Invitations to private rooms do not expire unless you, as the private room host, uninvites attendees.
To invite attendees to your private room:
- In the Bevy event, go to the Attendee tab and scroll through the attendee list to find the person to invite.
- Click the menu to the right of the attendee's name.
- Select Invite to My Private Room. (You can also uninvite an attendee from this menu, once they've accepted.)
- From the pop-up window, select Take Me There. Your private room opens and Bevy sends an invitation to the attendee.
- Accept the browser permissions to access your camera and microphone.
- Accept the notification about becoming a presenter.
- Click the camera and microphone buttons to turn them on.
- For each additional attendee you want to invite, repeat Steps 1 through 3.
Private rooms are enabled one hour before the start of the event. If someone tries to use a private room too early, they're redirected to the lobby instead.
Respond to a private room invite
When you’re invited to a private room you can:
- Go to the room by selecting Join.
- Dismiss the invitation without joining by clicking the X on the pop-up window.
- Dismiss the invitation and all future notifications by selecting Don’t Show This Again.
Important: This disables notifications of private room invitations for all future events in this instance. You can still join a private room by opening the Direct Message tab in your chat window and responding from there.
To accept an invitation and join a private room:
- In the notification window or Direct Message tab, select Join. You automatically go to the private room of the attendee that invited you.
- Accept the browser permissions to access your camera and microphone.
- Accept the notification about becoming a presenter.
- Click the camera and microphone buttons to turn them on.
When you’re in someone else’s private room, if you send an invitation to another attendee, you’re taken out of the current room and into your own private room.
