Learn which Bevy Virtual Conference roles can speak, share, and moderate. Listing someone as Speaker on the People tab does not give them microphone, camera, or screen share.
Applies to: Bevy Virtual Conference. Use Bevy Virtual Meetup (Free Registration) for a single-room workshop. Use Bevy Virtual Conference when you expect more than 1,000 attendees, or when you need multiple sessions, stages, or a full agenda.
Conference roles and permissions
This article describes the roles you will see in a Bevy Virtual Conference and what each role can do in the live room.
Hosts
Chapter team members with host permission join the conference as hosts automatically. A host can also promote an attendee to host in the live room. Promoted hosts do not get access to the admin dashboard.
Hosts can:
- Join the conference before it starts. Conference events usually open about 60 minutes before the event start time. Some communities use a longer window.
- Join any session they have access to after that session's Join button opens.
- Promote others to host.
- Turn presenter mode on for themselves and for others.
- Turn moderator mode on for others.
- Start and stop recording.
- Moderate chat and manage Q&A.
- Simulcast a live session.
- End the event early and view check-ins.
Session Join stays Starting soon until 15 minutes before that session. Sessions do not have Backstage. If hosts and speakers need to test earlier than 15 minutes, use a Stage. Hosts can still join the overall conference before the first session opens.
Speakers (People tab)
Adding someone as Speaker, Host, or Moderator on the event People tab lists them on the public event page and agenda. It does not give them microphone, camera, or screen share in the live room.
A People-tab Speaker, Host, or Moderator listing is not the same as live presenter or host rights. Converting a Session to a Stage also does not grant those rights.
Presenters (live room)
Presenters can turn on microphone, camera, and screen share.
A speaker becomes a presenter only if one of these is true:
- They are a chapter team member with host permission. They join as a host automatically.
- A host turns on Moderator mode or Presenter mode for them in the live room: Participants → the person → Actions.
The Backstage link does not grant presenter controls. If a speaker joins Backstage without Moderator mode or Presenter mode, they appear as an attendee.
To broadcast on a Stage, they must be in Backstage and have presenter mode enabled. Only Stages have Backstage. The agenda Backstage link appears for hosts and moderators on Stage items.
If you are listed as a speaker and you cannot share audio, video, or your screen, ask a host to open Participants, select you, open Actions, and turn on Presenter mode. Refreshing the page does not grant those controls.
If prompted, grant the browser access to your microphone and camera. You can also message a host in chat and ask them to turn presenter mode on.
In a non-stage session, your name and picture appear for attendees while presenter mode is on. Camera and microphone start off. Turn them on when you are ready.
Attendees
- RSVP, then select Join Event on the event page when the conference is open.
- Hosts can promote attendees to host or presenter in the live room.
- Send event chat and direct messages, unless the host has disabled chat.
- Ask, vote on, and sort questions in Q&A when Q&A is available.

Turning off chat for the whole event is a host event setting. That setting hides event chat and direct messages for everyone. It is not the same as the row above.
