Use Bevy Virtual Conference as a host

This article outlines how to manage host controls within Bevy Virtual Conference

All chapter team members automatically join virtual events as hosts. Attendees can be promoted to be a host role, but they won't have access to the admin dashboard. 

Hosts can:

• Join any session

• Promote others to hosts

• Enable presenter mode for yourself

• Enable presenter mode for others

• End the event early

• View a list of check-ins

• Join the event before it starts

• Access attendee information

• Start / Stop recording

• Moderate chat

• Enable and manage Q&A

Promote others to hosts

As a host, you can provision host access to others during the event.

1. 1. Within the event, click the Attendees tab.
   2. Click the drop-down arrow next to the attendee's name.
   3. Click Set as Host.
      

If a promoted host moves to another area within a conference event (e.g., Networking Table, Booth, etc.), the host permissions go away.

Enable presenter mode for yourself

Presenter mode allows access to audio/video and screen share controls.

1. Upon joining an event as a host, you will be prompted to enable presenter mode.

   

2. Click enable. You will now see your audio, video, and screen share controls. 

   

Enable presenter mode for others

You may enable presenter mode for any attendee who needs audio, video, and screen sharing controls.

1. Within the event, click the Attendees tab.
2. Click the drop-down arrow next to the attendee's name.
3. Click Presenter mode switch.
   

Once given presenter mode,

• Attendees will be prompted to accept access.
• Attendees may also need to give browser permissions for camera and microphone use.

Once a presenter completes their session, turn their presenter mode off to remove them from video grid.

End the event early

As a host, you can end the event before the designated end time.

Ending an event for all is final. Ending a multi-day event early applies to the remaining days of the event.

1. At the bottom of the event, select the Leave button.
   As a host, this opens a menu with the options to end the event or leave the event.

2. Select End event for all.
   This ends the event for everyone and can't be undone.

View a list of check-ins

Anyone who attends a Bevy Virtual Conference event will be auto-checked in. Hosts can export an attendee list after the event.

Join the event before it starts

After you RSVP, Hosts & Team leads can access Bevy Virtual Conference events anytime before they start by using Calendar, Email, or Virtual URL link (found at bottom of the Event Edit section).

The Join button on the Event page doesn't work the same way and only allows you to join 15 minutes prior to the event starting.
