The ticketing option available in an event is configured by HQ admins in the Admin Dashboard in the Event Type setting. Event ticketing type options are:
- RSVP
- Paid or Free
- External Ticketing
Only one ticketing option can be assigned to an event type.
Create RSVP only or Paid ticketing
In the event Details, navigate to the Tickets or RSVP section on the right side of the dashboard.
- Click the edit icon.
- A modal will open where you can set the ticket:
- Title
- Venue associated with the ticket (virtual or in-person). Only hybrid event venues will allow you to set the ticket venue as virtual or in-person.
- Quantity: Total number of tickets available for registration. It will display the amount of tickets remaining/total number of tickets available.
- Select Advanced settings (optional) for additional ticket settings:
- Ticket Availability start date/time
- If Availability start is left blank, the ticket will become available immediately
- Ticket Availability end date/time
- If Availability end is left blank, the ticket will be available until the event’s end date unless the amount of tickets available is 0.
- If Availability end is before the Event end date/time, the ticket will show Sold Out or Unavailable.
- Ticket description
- Enable waitlist when this ticket is sold out
- Hide this ticket type
- Minimum and maximum registration quantities (only available for paid ticketing events).
- Delete ticket.
- Ticket Availability start date/time
- Click Save to close the modal and add the ticket to the event. Repeat for multiple ticket types.
Maximum Venue Capacity
Venue capacity serves to limit the total number of tickets or RSVPs issued. It is assumed that the quantity of available tickets will not surpass the venue's capacity. In the Bevy Virtual Meetup (BVM) platform, the max capacity defaults to 1000 attendees. If you anticipate greater than 1000 attendees for your BVM event, please contact your HQ Admin or your Bevy Customer Support Manager.
You can set the maximum venue capacity for RSVP only and paid ticketing only. The venue capacity may be exceeded if attendees are added manually, if the ticket’s venue is changed after registrations, or if the capacity is set after some attendees have already registered.
Create a Hidden Ticket
Tickets are only visible during their designated availability window. To hide a ticket within its sales window, use an access code to restrict visibility.
To make a ticket type hidden, check the "Hide this Ticket type" box. You must create an Access code to be associated with the hidden ticket. A unique URL will be automatically generated based on the code you provide, which can then be shared to allow access to this hidden ticket.
Attendees can also use the Access Code in the promo code field in the ticket modal on the event page. The Access Code has a maximum length of 100 characters.
Configure External Tickets
Configuring External URL ticketing can currently only be done in the Legacy Dashboard. Please switch from the new dashboard to the legacy dashboard to configure events using this type of ticketing.
- From within the Chapter Dashboard, click Events from the left sidebar.
- Click the event you want to edit.
- Click the Edit tab, and navigate to the RSVPs tab.
Enter the URL for the external ticketing system.
Click Save Draft / Preview / Publish when finished. Your event page will now direct attendees to the external URL to register, rather than using RSVPs in Bevy.
