Agenda Components
There are 4 sections when building your conference agenda:
Stage
The stage in Bevy makes use of broadcast technology to be able to stream to an unlimited number of attendees. Most of your events will take place on the stage, which you’ll use to build out “stage sessions” and “breaks” as needed.
- Can use multiple stages simultaneously.
- Can live-stream content to a stage.
- Can stream pre-recorded content via RTMP keys.
- Stages include backstage functionality.
- Maximum number of presenters on the stage at once is 9. Visible maximum is only 5 if there is a screen share active. The 5 presenters that show are the first 5 presents to join on audio and video. “Break” session types are not joinable.
Session
Sessions outside of the stage experience are designed for a more intimate gathering. Sessions outside of the stage experience provide live conferencing for up to 5,000 attendees.
- Unlimited number of sessions allowed; can use sessions simultaneously.
- Segment sessions by restricting to certain ticket types. For example, create a session for a Speaker Green Room that’s only visible to attendees who registered under a “speaker” ticket type. Speakers can use the Green Room to get set up and check to make sure everything is working prior to sending to the main stage or session.
- Sessions can be live or use pre-recorded content.
- No backstage functionality is available for non-stage sessions.
- Breakout rooms can be used for structured networking for attendees.
- The number of presenters changes the maximum number of viewers.
Booths
Booths in Bevy simulate an in-person sponsor booth that are open for visitation during the entire conference. Booths are a great place to showcase your supporters, sponsors, and partners.
- Booths are visible the entire duration of the event.
- Booths do not display within the agenda; they are accessible from the conference navigation bar at the top. If you do not add a booth, the Booths option won't appear.
- A booth can display a static image or a video. If video, the attendees who enter the booth can click to play the video on demand.
- Hosts can optionally convert to a live booth during the event, via a button within the booth experience.
Networking Tables
Networking in Bevy simulates an in-person “networking table” that is open for visitation during the entire conference. Networking tables are great ways to engage your attendees in your virtual conference! Attendees join networking tables to connect on topics they are interested about, birds of a feather discussions, and more.
- Unlimited number of tables allowed. As a host, you create networking tables in advance in order to give attendees the ability to find tables they are interested in during the event.
- Segment tables by restricting certain ticket types, or leave them open to all.
- There can be 2-50 attendees in one table at any given time (chosen at time of setup). The number of attendees allowed within each table is the same for all tables across the conference; however, hosts are able to exceed the set attendee capacity limit, unless the room is already at 50 attendees.
- All attendees join with presenter mode, meaning they get audio, video, and screen sharing access. Attendees can toggle off and on their camera or microphone as they want.
- Each table has its own dedicated chat.
- Each table can also be recorded if a host wishes.
- You can make updates while your event is taking place. This includes adding and removing tables or making edits to existing ones. However, any changes made to the Networking settings during a live event will affect only those who navigate away and back to networking after the changes were saved.
- Networking tables do not display within the agenda; they are accessible from the conference navigation bar at the top. If you do not add a table, the Networking option won't appear.

Hosts
All members of the Chapter Team automatically join the conference as a host. Alternatively, hosts can promote other attendees to a host role within the conference experience.
Hosts can:
- Join any session
- Add other hosts
- Promote an attendee to a presenter
- Access backstage
- Access attendee information
- Start / stop recording
- Moderate chat
- Enable and manage Q&A
Presenters / Speakers
Speakers can turn on microphone, camera, and screen share.
- For stage sessions, your host may provide a backstage link. Anyone entering the backstage will be able to broadcast to the main stage when ready.
- Speakers must be in the backstage to broadcast or present.
- For non-stage sessions, your host may provide a "green room" to enter in order to test your microphone and camera prior to joining the live session.
- You may have to separately allow your browser to access your microphone and camera if prompted.
- For non-stage sessions, as soon as you enable, your name and picture will appear for attendees for the duration of your presenter mode. Your camera and microphone will be turned off by default, and you can toggle them on/off as needed.
- You can DM a host to request presenter mode to be enabled.
Moderators
Moderators join as attendees and can be promoted to hosts during the event in order to assist with chat and Q&A functionality.
- Delete messages in chat that are not appropriate
- Profanity filtering is enabled for English
