This article explains how to delete user accounts.
Steps to delete a user
- In the Admin Dashboard, click Members in the left-hand sidebar menu.
- Search for the user to delete.
- Click the user to edit their account.
- Click Delete Account.
- Enter the user's password, and then click Delete Account (for customers with SSO enabled, the user will be prompted to enter [DELETE] to confirm action)
The user is not immediately deleted after this action. The deletion process takes 7 days to complete. This is so if user deletion was a mistake, Admins have the ability to cancel deletion at any point within the 7 days. If you need to change this time to deletion, you may reach out to Bevy Support for assistance.
Cancel a deletion
- In the Admin Dashboard, click Members in the left-hand sidebar menu.
- Search for the user, and then click to edit their account.
- Click Cancel Deletion.
- Confirm cancellation.
Handling Deleted User Data in the Dashboard
In the event of user deletion, specific steps are followed to ensure that sensitive information is appropriately managed, while essential identifiers and historical data remain accessible for administrative purposes.
Deleted User Data Appearance
Once a user is deleted from the Bevy platform, their profile will reflect several modifications. The most notable change is the alteration of the user's email address. To maintain data coherence and preserve the uniqueness of email-based references, the user's email will be changed to the format "deleted+[generated]@bevylabs.com." This new email format serves as a placeholder while safeguarding system functionality that relies on email as a key identifier.
Data Handling
All identifiable user information is meticulously removed or obfuscated to ensure data privacy. The user's personal details, contact information, and any sensitive data will no longer be accessible to organizers or HQ administrators. This approach aligns with privacy regulations and safeguards user confidentiality.
Retained Information
Certain critical user identifiers are retained even after deletion. The Bevy's User ID remains intact to sustain the integrity of essential features that rely on this identifier. Although, the user's SSO (Single Sign-On) information is removed.
Historical Data
Deleted users' profiles are rendered anonymous, and their event-related information is preserved for administrative purposes. Organizers and HQ administrators can still access historical data pertaining to events the user attended. This functionality ensures that past event analytics and reporting continue to provide accurate insights.
